Full job description

Puddles Swim School is looking for a confident, reliable, and highly organized Customer Service Associate to join our front desk team.

Our front desk team is the face of Puddles. You are the first person families see when they walk through our doors and the person they rely on for questions, scheduling, billing, and account support.

A major part of this role is learning and confidently using iClassPro. This position depends on your ability to learn our software system, accurately manage customer accounts and schedules, and use it efficiently. You will also communicate with parents and families by phone, email, and in person, so strong communication and attention to detail are essential.

What You’ll Do

Welcome families and create a warm, professional first impression
Become proficient in iClassPro and use it confidently for registrations, scheduling, billing, payments, and customer account management
Communicate with parents and families in person, by phone, and through email
Respond to questions and concerns professionally, promptly, and accurately
Maintain accurate customer information and follow up on outstanding requests
Keep the kids zone and dry zone organized, clean, and welcoming
Support merchandise sales and day-to-day school operations
Work closely with management and the swim team to ensure a smooth customer experience

Reliable and dependable — you show up, follow through, and take responsibility for your work
Strong personality and confident communication skills — you are comfortable speaking with parents and handling questions face-to-face, over the phone, and by email
Highly organized and detail-oriented — accuracy matters when managing schedules, accounts, payments, and customer information
Tech-savvy and willing to learn — you are comfortable learning iClassPro and understand that becoming proficient in our software is an essential part of the job
Professional, friendly, and genuinely customer-focused
Able to multitask and stay composed in a busy environment
A positive team player who is willing to jump in and help wherever needed
Comfortable working with children and families
Customer service, administrative, or aquatics experience is an asset
