Maljohn is seeking a detail-oriented Manufacturing Quotation Clerk to join our Hamilton office.
If you enjoy working with numbers, preparing professional business documents, and supporting a collaborative manufacturing team, this opportunity offers a stable weekday schedule with no evenings, weekends, or shift work.
This position supports both our Hamilton, Ontario and Regina, Saskatchewan operations by preparing accurate customer quotations using established company procedures and pricing templates.
We provide comprehensive training on our products, quotation procedures, manufacturing processes, and internal systems.

About the Role
Reporting to the Sales & Marketing Manager, you will prepare customer quotations for both our Hamilton and Regina operations using established quotation procedures, approved pricing templates, and information gathered from our Production and Purchasing teams.
You will become one of three employees responsible for preparing accurate, professional, and timely quotations. The quotation team works collaboratively to balance workload, maintain pricing consistency, and provide excellent service to our customers.
This is an administrative, process-driven position. Your role is to prepare quotations using established company procedures—not to independently establish pricing strategies or perform engineering-level estimating.
Key Responsibilities
- Prepare customer quotations using approved pricing templates and established quotation procedures.
- Review customer Requests for Quotation (RFQs), drawings, specifications, and supporting documentation.
- Gather pricing, manufacturing, and lead-time information from Purchasing and Production.
- Request supplier quotations when required.
- Prepare quotation revisions.
- Maintain quotation records, quotation history, and supporting documentation.
- Ensure quotations are completed accurately and within established turnaround targets.
- Work closely with Accounting, Outside Sales, Purchasing, Production, Customer Service, and Logistics.
- Support the continuous improvement of quotation procedures and documentation.
Qualifications

Preferred Qualifications
- High school diploma or equivalent.
- Two or more years of office or administrative experience.
- Manufacturing experience is considered a strong asset.
- Experience preparing quotations, estimates, proposals, or similar business documentation is preferred.
- Intermediate-level technical aptitude
- Strong Microsoft Excel, Word, Outlook, and Teams skills.
- Experience using ERP/MRP software (Sage 50/MRPEasy, or similar) is considered an asset.

What Success Looks Like
During your first six months, you'll become familiar with our products, quotation procedures, and manufacturing processes while becoming a valued member of our quotation team.
By the end of your initial assignment, you will be expected to:
- Prepare accurate customer quotations using established procedures with minimal supervision.
- Consistently meet quotation turnaround objectives while maintaining a high level of accuracy.
- Develop productive working relationships with Sales, Purchasing, Production, Customer Service, and Logistics.
- Demonstrate sound judgment by recognizing when additional information or management approval is required.
- Maintain organized quotation records in accordance with company procedures.
- Support fellow quotation team members during periods of high workload.
- Demonstrate professionalism, reliability, and a commitment to continuous improvement.
Successful performance during the initial six-month assignment, together with ongoing business requirements, may provide the opportunity for the position to become a permanent part-time role.
