Location: HVAC X Supply – Mississauga, ON

About the Role

HVAC X Supply is looking for a friendly, organized, and customer-focused Front Counter Receptionist to join our growing team. As the first point of contact for customers, contractors, and vendors, you'll play a key role in delivering exceptional service while supporting daily front office operations.

The ideal candidate is professional, detail-oriented, comfortable working in a fast-paced environment, and confident using ERP systems and handling customer inquiries over the phone and in person.

Responsibilities

Greet and assist walk-in customers, contractors, and suppliers.
Answer incoming phone calls and direct inquiries to the appropriate department.
Provide excellent customer service while handling product, order, and general business inquiries.
Process customer orders, invoices, and payments using the company's ERP system.
Create quotes and sales orders as required.
Maintain accurate customer information and records.
Coordinate with the warehouse and sales team regarding order pickups and availability.
Respond to emails and general administrative inquiries in a timely manner.
Keep the front reception area clean, organized, and professional.
Assist with filing, data entry, and other administrative tasks as needed.

Qualifications

2+ years of reception, front desk, customer service, or administrative experience.
Excellent verbal and written communication skills.
Strong telephone etiquette and confidence speaking with customers.
Experience using ERP systems
Proficient with Microsoft Office (Outlook, Word, Excel).
Strong organizational skills with excellent attention to detail.
Ability to multitask and work efficiently in a fast-paced environment.
Positive attitude, reliability, and a team-first mindset.

Preferred Qualifications

Previous experience in the HVAC, plumbing, electrical, construction, or wholesale distribution industry is considered an asset.
Experience processing invoices, purchase orders, and customer accounts.
