Full job description

About the Role

We are seeking a proactive, highly organized Office Manager to oversee the day-to-day operations of our office and ensure a smooth, efficient, and welcoming workplace. This role is central to keeping the business running — from administrative operations and vendor relationships to IT coordination, employee support, and company culture. The ideal candidate is a versatile problem-solver who thrives on variety, anticipates needs before they arise, and enjoys being the go-to person for the whole team.

Key Responsibilities

Facilities and Vendors

Primary point of contact for landlord, building management, and property issues.
Own cleaning, security, maintenance, and waste contracts — scope, renewal, and performance.
Maintain office policies and procedures; own health and safety compliance, drills, and required postings.
Resolve facilities faults escalated by Reception; decide what gets fixed, replaced, or lived with.
Manage office layout, seating, moves, and space planning.

Purchasing and Budget

Place all supply, equipment, and furniture orders, working from Reception's reorder list.
Own vendor selection, pricing negotiation, and account setup.
Code and approve office invoices for payment.
Track the office budget and monthly spend against plan.
Reconcile the company card

IT Coordination

Single liaison to the outsourced IT provider; log, chase, and close tickets.
Order, set up, and deploy workstations for new hires; decommission and wipe on exit.
Own the asset inventory — laptops, monitors, phones, licences, and renewal dates.
Manage account and access provisioning and removal with IT.
Triage the easy issues first (password, printer, connectivity) before escalating.

HR Support and Onboarding

Deliver onboarding and orientation with HR; prepare welcome materials and workstations.
Issue building access, keys, and credentials ahead of start dates.
Maintain records and the internal directory.
Schedule interviews and coordinate candidate logistics.
Run the offboarding checklist — access, assets, keys, and final-day logistics.

Internal Events and Culture

Plan and run all-hands meetings, offsites, the holiday party, and milestone celebrations.
Own event budgets, vendor contracts, catering, and run-of-show.
Assist with recognition programs — service awards, peer recognition, birthdays.

Marketing and External Events

Trade shows: book booth space, manage booth assets and shipping, schedule and brief booth staff, own the show budget, run lead capture, and hand leads to sales.
Partner events: venue, invitations, RSVP tracking, run-of-show, and follow-up.
Customer and community events: open houses, lunch-and-learns, sponsorships, and association memberships.
Social media: content calendar, drafting and scheduling posts, responding to comments and messages, and monthly performance reporting.
Collateral and brand: print inventory, branded swag and apparel, ordering, and version control so outdated material stops circulating.
Support basic website updates.

Travel

Book flights, hotels, and ground transport for staff and executives.
Hold bookings to the travel policy and track travel spend against budget.
Act as the contact for changes, cancellations, and travel emergencies, including after hours.

Qualifications

· Bachelor's degree preferred, or equivalent professional experience.

· 3+ years of experience in office management, administration, or a related operations role.

· Strong organizational skills with the ability to manage multiple priorities and deadlines.

· Excellent written and verbal communication skills.

· Comfortable coordinating basic IT/technology needs and working with external vendors.

· Proficiency in Microsoft Office and/or Google Workspace; familiarity with HRIS or ticketing systems a plus.

· Discretion and professionalism when handling confidential or sensitive information.

· A positive, service-oriented attitude and a genuine interest in supporting a team.

Pay: $55,000.00-$65,000.00 per year
