Job Description

What does your day to day with us look like

Support Senior and Junior Project Managers
Enter / create purchase orders and change orders
Issue contracts/change order to subcontractors
Generate and maintain contact lists
Print/distribute drawings and specs to project teams
Set up meetings and keep minutes
Put together project binders and supplies for Project Managers & Site Superintendents
Manage submittal and RFI process
Put together weekly reports
Update project directory accordingly
Follow-up / collect signed POs/COs
Follow-up / collect project documentation required from subtrades
Follow-up / support the collection of close-out documents
Order equipment/materials for projects
Process invoices for payment
Collect, organize, coordinate, and submit paperwork
Liaise with Accounting for missing documentation
Any other required tasks (site binder preparation, budget verification, printing, etc.)
Create and maintain effective communication with clients, superintendents, and subcontractors
Knowledge of ProCore beneficial, but not necessary

What do you need to ensure Excellence in your role?

Proven experience as an administrator or assistant.
Knowledge of office management systems and procedures.
Excellent time management skills and ability to multi-task and prioritize.
Attention to detail and problem-solving skills
Excellent written and verbal communication skills, English proficiency is required as the position involves interacting with English-speaking Canadian and American clients. Strong written, verbal, and reading skills in English are necessary.
Strong organizational and planning skills
Proficiency in MS Office
2-3 years' experience in the field or related field
High school diploma or equivalent; college degree preferred
