Administrative Assistant

Cinnabar Valley Farms Ltd. – Nanaimo, BC
Full-Time | Permanent

Cinnabar Valley Farms Ltd. is seeking a reliable and organized Administrative Assistant to join our team. This position provides day-to-day administrative support and serves as an important point of contact for our customers, suppliers, and internal staff.

We are looking for someone who is professional, friendly, detail-oriented, and comfortable managing a variety of tasks throughout the day.

Key Responsibilities

Answer and direct incoming phone calls in a professional and friendly manner
Respond to general customer inquiries by phone and email
Assist with processing customer orders and addressing order-related questions as needed
Provide support to the accounting department with Accounts Receivable (AR) and Accounts Payable (AP) duties, including invoice processing, payment application, account documentation, and other related tasks as required
Maintain accurate filing and electronic records
Assist with data entry and general administrative duties
Assist with incoming paperwork and ensure documents are properly organized and distributed
Communicate with sales, accounting, warehouse, and other departments as required
Assist with scanning, photocopying, filing, and document management
Provide general office support and assist with additional administrative duties as required

Qualifications

Previous administrative, office, or customer service experience is preferred
Strong computer skills and confidence working across multiple software programs and business systems
Proficiency in Microsoft Excel, including working with spreadsheets, sorting and filtering data, basic formulas, formatting, and maintaining accurate information
Strong working knowledge of Microsoft Outlook, Word, and other Microsoft 365 applications
Comfortable learning and navigating ERP, accounting, order-entry, and other business software
Ability to quickly learn new systems, processes, and technology
Comfortable working between multiple programs and screens throughout the day
Strong data-entry skills with a high level of accuracy and attention to detail
Strong organizational skills with the ability to manage multiple priorities and stay on top of deadlines
Excellent verbal and written communication skills
Professional and confident telephone manner
Strong problem-solving skills and the ability to work through routine issues independently
Previous experience with invoicing, Accounts Receivable, Accounts Payable, or accounting software is considered an asset
Dependable, punctual, and able to work both independently and as part of a team

What We’re Looking For

The ideal candidate is a highly organized, dependable, and professional individual who takes pride in providing excellent support to both customers and the internal team. This role is an important part of our day-to-day operations, helping ensure that customer inquiries, administrative processes, documentation, and office activities are handled accurately and efficiently.

The successful candidate will be comfortable balancing a variety of responsibilities, including customer service, invoicing, order support, filing, and general administrative tasks, while also helping with Accounts Receivable and Accounts Payable functions. We are looking for someone who is detail-oriented, adaptable, and willing to take initiative in a busy and collaborative office environment.

Schedule: Full-time 8:00 – 4:30, Monday to Friday in Office
Location: Nanaimo, BC
Position: Permanent

Pay: $25.00 per hour

Expected hours: 40.0 per week
