Full job description

SMP Nelson Chrysler is seeking a highly organized and detail-oriented Administrative Assistant to join our team. This position plays an important role in supporting the day-to-day administrative operations of our dealership and helping ensure a professional, efficient experience for both customers and staff.

The ideal candidate is reliable, personable, comfortable working in a fast-paced environment, and able to manage multiple priorities while maintaining a high level of accuracy and professionalism.

Key Responsibilities

Provide administrative support to dealership management and various departments.
Answer and direct incoming phone calls and assist customers in a friendly and professional manner.
Greet customers and visitors and help direct them to the appropriate department or team member.
Prepare, organize, scan, file, and maintain dealership documents and records.
Assist with data entry, invoicing, internal paperwork, and general office administration.
Process and organize vehicle, customer, repair order, and other dealership-related documentation.
Monitor emails and assist with customer and internal communications.
Maintain accurate records while handling confidential customer and company information appropriately.
Assist with scheduling, appointments, follow-ups, and other administrative coordination.
Support accounting, sales, service, parts, and management departments as required.
Help maintain an organized, professional, and efficient office environment.
Take ownership of assigned tasks and follow them through to completion.

Qualifications and Skills

Previous administrative, office, reception, or customer service experience is preferred.
Experience in an automotive dealership or automotive-related business is considered an asset, but not required.
Strong organizational and time-management skills.
Excellent attention to detail and accuracy.
Professional communication skills, both in person and over the phone.
Ability to prioritize tasks and work effectively in a fast-paced environment.
Strong computer skills, including Microsoft Office and the ability to learn dealership software.
Ability to work independently while also being a strong team player.
A positive attitude, professional appearance, and a willingness to help wherever needed.
