Overview

We are seeking a dynamic and organized Receptionist/Administrator & Travel Agency Assistant to join our team! This energetic role is vital in creating a welcoming environment for visitors and clients while efficiently managing administrative duties. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a passion for providing exceptional customer support. In this role, you will be the first point of contact for our office, ensuring smooth daily operations and assisting with travel arrangements to support our team’s needs. This paid position offers an exciting opportunity to develop your administrative and customer service skills in a lively, fast-paced setting.

Responsibilities

Greet visitors and clients warmly, providing professional front desk support and ensuring a positive first impression
Manage multi-line phone systems, screen calls, and direct inquiries to appropriate team members with courtesy and professionalism
Handle data entry tasks accurately using software such as QuickBooks, Microsoft Office, and Google Workspace to maintain organized records
Assist with travel bookings, itinerary planning, and related administrative tasks for staff and clients
Maintain filing systems, update records, and ensure all documentation is accurate and easily accessible
Support clerical duties including proofreading documents, managing correspondence, and preparing reports
Provide exceptional customer service by addressing inquiries promptly via phone or email and supporting client needs efficiently

Skills

Proven experience with office administration, including clerical tasks such as filing, data entry, and document proofreading
Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and QuickBooks for bookkeeping purposes
Excellent organizational skills with the ability to manage multiple priorities in a busy environment
Experience working with multi-line phone systems and demonstrating professional phone etiquette
Knowledge of medical or dental office procedures is a plus; familiarity with front desk operations in healthcare settings is advantageous
Exceptional customer service skills with a friendly demeanor and effective communication abilities
Ability to perform typing quickly and accurately while maintaining attention to detail
