Job Overview

We are seeking a dynamic and highly organized Executive Assistant & Bookkeeper to support a private family office. This role offers an exciting opportunity to manage a wide range of administrative and financial responsibilities, ensuring the smooth operation of the household and its financial affairs. The ideal candidate will be proactive, detail-oriented, and possess a strong background in bookkeeping and accounting software. You will play a vital role in maintaining accurate financial records, managing schedules, and supporting the overall efficiency of the family’s private operations. This position is perfect for someone who thrives in a fast-paced environment and is eager to contribute to a well-organized, private setting.

Duties

Provide comprehensive administrative support, including managing calendars, scheduling appointments, and coordinating household logistics
Handle all bookkeeping tasks using accounting software such as QuickBooks, Sage, or Xero
Maintain accurate records of accounts payable and receivable, ensuring timely payments and collections
Perform bank reconciliations and account analysis to ensure financial accuracy and integrity
Manage payroll processing, including tracking hours, deductions, and tax filings
Conduct regular account reconciliation to verify financial data aligns with bank statements and internal records
Assist with budgeting processes by preparing reports and monitoring expenses against allocated budgets
Support the preparation of financial reports by organizing data and performing detailed account analysis

Experience

Proven experience as an Executive Assistant supporting high-net-worth individuals or private family offices
Strong proficiency in accounting software such as QuickBooks, Sage, or Xero is essential
Demonstrated expertise in bookkeeping tasks including accounts payable/receivable, bank reconciliation, and account analysis
Knowledge of payroll management processes and related compliance requirements
Familiarity with budgeting procedures and financial reporting practices
Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment
Exceptional attention to detail combined with proactive problem-solving abilities
