JOB SUMMARY:

At the Humane Society of Oakville, Milton & Halton (HSOMH), every donation helps provide care, shelter, and second chances for animals in need. We’re looking for a detail-driven, organized, and people-focused Annual Giving Coordinator to join our Fund Development team.

This role is ideal for someone who loves both donor stewardship and data accuracy — someone who gets satisfaction from clean databases, organized reporting, accurate gift processing, and ensuring every donor interaction is recorded and handled with care. You’ll play a key role in supporting fundraising success through donor administration, stewardship coordination, reporting, and relationship management.

REPORTS TO: Manager, Annual Giving

DEPARTMENT: Fund Development

SALARY: $27.06/hr

JOB TYPE: Full-Time, Permanent

SCHEDULE: 35 hours per week, Monday to Friday, morning/afternoon shifts and afternoon/evening shifts as required. Can include some weekends for events.

RESPONSIBILITIES:

Provide outstanding customer service to community members including donors, sponsors and partners through various forms of communication, with a high volume of phone communication. This role is the first point of contact for donor-related inquiries for the development team
Coordinate and process all incoming donations as well as issuing tax receipts, with an excellent level of detail and accuracy
Ensure the integrity of all data entered in the donor database.
Coordinate ongoing execution of and adherence to HSOMH’s stewardship plan, including stewardship mailings and action assignments
Administer the Loyalty League monthly donor program (upgrades, declines, changes, etc.)
Coordinate tribute and memorial gift communications and follow-up
Coordinate and execute kennel sponsorships and Bingo programs
Engage and coordinate volunteers for development-related activities
View all interactions with donors/supporters as an opportunity to build and deepen relationships
Support programming and related tasks executed by the Development team
Actively participate and encourage the engagement of others in HSOMH and community events
Collaborate with the development team in the growth and retention of supporters through various programs and initiatives
Ensure all funds raised are received and processed as per HSOMH policies and Canada Revenue Guidelines.
Other Duties as requested and/or assigned.

WHAT YOU BRING TO THE ROLE:

Post secondary education and/or equivalent experience in database management and customer service.
At least 2 years experience in an administrative, donor relations, or data entry focused.
Familiarity working in a customer/donor database, with expertise in Raiser’s Edge being highly desirable
Proficiency in the use of Microsoft Office Suite
Exceptional attention to detail and commitment to data accuracy and integrity
Comfortable working with large volumes of donor data, reports, and fundraising KPIs
Enjoys organization, problem-solving, and ensuring information is accurate and complete
Knowledge and experience of the charitable and not-for-profit sector an asset
Strong time-management skills with the ability to manage multiple priorities and deadlines
Excellent oral and written communication skills

The job may also involve physical tasks such as lifting, bending, and standing for extended periods.
