POSITION DESCRIPTION
Reporting to the Chief Financial Officer, the Senior Manager, Facilities Management is responsible for the strategic and operational oversight of ESA’s office environments and facility-related functions. This role ensures that all corporate workspaces are safe, efficient, and well-maintained, while supporting an exceptional employee experience.
The Senior Manager leads the delivery of office services, manages relationships with property managers for ESA‑owned buildings, and oversees space planning, maintenance, and workplace optimization initiatives. This position develops and implements facilities policies, procedures, and service standards to improve operational efficiency and support organizational goals.
Key responsibilities include managing reception services, vendor and contract performance, coordinating event and training space logistics, and leading capital and renovation projects. The Senior Manager also champions best‑in‑class facilities practices, promotes continuous improvement, and ensures that all facilities operations align with regulatory requirements, as well as health and safety standards. The position also engages with the property management partner on matters related to leased spaces in the ESA-owned buildings and is the business lead for dealing with tenant-related issues or concerns.
ROLE DESCRIPTION
- Direct work of Office Support Associate and primary point of contact for all facilities related matters for all ESA owned and leased properties across the province, currently five (5) properties, two (2) owned and three (3) office leases across the province.
- In collaboration with property management partner, monitor the facilities for ESA’s owned properties to ensure the properties remain safe, secure and well-maintained.
- Manage 1 (one) direct report.
• Oversee construction and renovation projects to improve efficiency, ensure facilities meet environmental, health, and security standards, and comply with government regulations. • Respond to any emergencies, including those outside of normal business hours.
- Lead the development and implementation on long- and short-term real estate plans.
- In collaboration with the property management partner, analyses maintenance needs, develops priorities and presents them to the CFO for approval.
- Partner with property management to proactively monitor tenant needs, address concerns, and ensure rent payments are collected and processed according to lease requirements. Work collaboratively with stakeholders across the organization to align facilities initiatives with broader business priorities, ensuring that workplace strategies support operational needs and long‑term organizational goals. Foster a culture of partnership, innovation, and continuous improvement by engaging teams early, listening to feedback, and promoting shared ownership of workplace solutions.
- Act as a change leader by clearly communicating upcoming facilities changes, relocations, renovations, and any impacts to employees or operations. Develop and execute communication and transition plans that support smooth implementation and minimize disruption.
- Partner closely with other ESA departments, including IT, People & Culture, Communications, and Finance to support operational transitions, workplace enhancements, corporate events, and organizational growth.
- Ensure cross‑functional alignment, coordinated execution, and high‑quality service delivery across all facility‑related initiatives.
- Accountable for developing, implementing, and continuously refining long‑term facilities management strategies that align with the organization’s mission, operational priorities, and future growth plans.
- Provide strategic recommendations to senior leadership based on trends, risk analysis, occupancy data, asset lifecycle planning, and anticipated business needs.
- Oversee the facilities budget and lead key financial decisions related to building operations, capital projects, and service delivery.
- Ensure effective financial stewardship by maximizing cost‑efficiency, optimizing vendor spend, and ensuring that workplace environments meet both current operational standards and future organizational requirements.
- Establish clear performance metrics and reporting mechanisms to track facilities service levels, vendor performance, compliance, environmental impact, and capital project progress.
- Prepare dashboards, business cases, and executive‑level reports that support informed decision‑making.
- Lead green and sustainability initiatives by integrating energy‑efficient technologies, sustainable materials, and waste‑reduction strategies across all facilities operations.
- Monitor environmental performance, recommend improvements, and champion practices that reduce ESA’s carbon footprint.
- Oversee the planning and execution of corporate events, ensuring consistent standards, effective space utilization, and high-quality vendor coordination aligned with organizational needs.
- Travel required on a regular basis to all ESA office locations.

Qualifications
Education & Experience
- Bachelor’s degree in Facilities Management, Business Administration, Engineering, or a related field (or equivalent experience).
- Minimum of Seven (7) years’ facilities management experience with an organization that owned real estate (multi-union environment preferred). At least five (5) years in a leadership role including supervisory responsibilities.
- Experience with financial analysis, budget preparation and budget management
- Project management experience and certification (PMP preferred)
- Thorough knowledge of MS Office (Excel, PowerPoint, Word).
