Full job description

Reform Clinics is a modern multidisciplinary rehabilitation clinic located on the Oakville -Burlington border. We provide chiropractic, physiotherapy, massage therapy, acupuncture, and rehabilitation services.

We are looking for a friendly, dependable, and highly organized Front Desk & Patient Experience Assistant. Previous healthcare experience is welcome, but it is not required. We are prepared to train the right person who demonstrates professionalism, strong communication skills, reliability, and the ability to learn quickly.

As one of the first people our patients interact with, you will help create a welcoming experience while supporting the daily operation of the clinic.

What You’ll Be Doing:

Welcome patients and help them check in for appointments
Answer telephone calls, emails, texts, and general inquiries
Book, reschedule, and confirm appointments
Help maintain organized practitioner schedules
Register new patients and update contact information
Process payments and provide receipts
Assist patients with basic clinic and appointment information
Complete recalls and follow-up scheduling
Help maintain a clean and organized reception area
Support practitioners and other team members with administrative tasks
Learn the clinic’s scheduling, payment, and insurance procedures
Protect patient privacy and maintain confidentiality

Are warm, professional, and comfortable speaking with patients
Are dependable and arrive on time
Communicate clearly by telephone, email, and in person
Pay close attention to names, dates, payments, and appointment details
Can remain calm and organized when the front desk becomes busy
Are comfortable learning new computer systems
Take initiative while also following established procedures
Accept feedback and apply training consistently
Enjoy working as part of a healthcare team

Experience:

Experience in reception, administration, customer service, retail, hospitality, or a healthcare setting is an asset but is not mandatory.

Training will be provided in:

Jane App scheduling and patient records
Payment and point-of-sale procedures
Extended health insurance claim submission
Clinic communication and privacy procedures
Recall and patient follow-up processes

Saturday Availability:

Availability to work every Saturday or alternating Saturdays is required. Please do not apply if you are unavailable on Saturdays.

Ability to commute/relocate:

Oakville, ON: reliably commute or plan to relocate before starting work (preferred)
