Job Type: Full-time, Permanent
Salary: $21.40 - $25.40 per hour

About Us

Romano Ferretti Design Group is a premier design agency known for delivering sophisticated and creative design solutions. We are currently seeking a highly organized, professional, and detail-oriented Administrative Assistant to join our team fully on-site at our Oshawa studio. In this role, you will be the backbone of our daily office operations, providing essential clerical support to our creative team and managing front-desk interactions.

Responsibilities

Office & Studio Management: Oversee daily office workflows, keep the reception and studio spaces organized, and manage inventories of office and project supplies.
Client & Visitor Hospitality: Enthusiastically welcome visiting clients, partners, and vendors; manage incoming multi-line telephone calls and route messages appropriately.
Scheduling Coordination: Efficiently manage master calendars, schedule design consultations, and assist in coordinating internal and external team meetings.
Documentation & Data Support: Prepare, proofread, and format professional correspondence, client quotes, invoice requests, and presentation schedules.
Mailing & Logistics: Coordinate all incoming and outgoing mail, package deliveries, and design sample couriers.

Qualifications

Experience: 1–2 years of experience in an administrative support, corporate clerical, or office reception role is preferred.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and a general comfort level with utilizing collaborative digital tools.
Communication: Superb verbal and written communication skills in English, featuring an articulate and highly professional demeanor.
Organization: Exceptional multitasking, scheduling capabilities, and strong time-management skills in a creative environment.
Commute: Absolute reliability to report daily to our dedicated office location on Simcoe Street North in Oshawa.
