Job description:

We are a growing construction company based in Ottawa seeking a highly organized, experienced, and motivated Senior Office Administrator / Project Coordinator to join our team.

This is a senior-level position that requires extensive experience in construction administration, project coordination, document control, and office management.

Responsibilities

Manage day-to-day office administration and operations
Coordinate project documentation, contracts, permits, submittals, RFIs, change orders, and closeout documents
Maintain organized project files and records throughout all phases of construction
Support project managers with scheduling, procurement, and project tracking
Coordinate communication between clients, consultants, subcontractors, suppliers, and project teams
Assist with invoicing, purchase orders, budgeting, expense tracking, and project cost controls
Prepare reports, meeting minutes, project updates, and administrative documents
Monitor deadlines and ensure project documentation is completed accurately and on time
Ensure office procedures and systems are maintained efficiently
Manage and maintain project documentation using Procore Construction Software

Mandatory Qualifications

Minimum 5 years of construction administration or related project coordination or project management experience
Strong understanding of construction documentation, contracts, permits, change orders, and project processes
Proven, hands-on experience using Procore Construction Software is preferred.
Exceptional organizational and multitasking abilities
Excellent written and verbal communication skills
Advanced proficiency with Microsoft Office Suite (Word, Excel, Outlook)
Strong attention to detail and problem-solving skills

Important Notice

Only candidates with proven construction industry or related experience will be considered. This is not an entry-level administrative position. Experience with Procore Construction Software is preferred. Applicants who do not possess substantial experience in construction administration, project coordination, and construction documentation will not be considered.

Pay: $65,000.00-$90,000.00 per year
