Job Summary

The Parts Clerks reporting to the Parts Manager is primarily responsible for assisting the
Dealership’s customers, technicians and retail/wholesale customers with parts requirements. The Parts Clerk is professional and cordial. At time the Parts Clerk may assist with Parts Deliveries.

What you offer

General Responsibilities:

Answer telephone enquiries and service customers efficiently and professionally
Process all parts inventory information and controls into applicable software
Work with parts team to ensure accuracy and resolve any discrepancies
Purify files on a regular basis
File all Manufacturer’s reference paper work; i.e. packing slips, bills of lading, etc.
Verify all Manufacturer's packing slips to invoices
Verify all purchase orders against invoices
Stamp all invoice packaging slips daily
Maintain and revise inventory computer system as required
Attend department meetings as required
Assist in verifying, transcribing and coding all repair orders for accuracy and legibility
Maintain clean and orderly work areas and equipment
Control daily parts ordered for service department
Verify security and lock up at day's end as required
Ensure compliance with all policies and procedures of the Tony Graham Automotive Group
Ensure compliance with all applicable legislation (i.e., Employment Standards Act, Occupational Health and Safety Act, Human Rights Code, Highway Traffic Act, etc.)
Any other responsibilities are required and/or as assigned

Retail/Wholesale Customers:

Handle all telephone parts orders for pick-up and delivery
Obtain a deposit (or full payment on non-returnable items) on all retail orders
Obtain customer signature for all charge accounts
Receipt cash customer invoices and place cash in cash drawer
Pick invoices and place in appropriate bins all wholesale telephone orders
Envelope cash at day's end when required and deposit in Manager's office
Follow Dealership's policies and procedures in conjunction with inventory control systems
Price body shop parts, estimate and order necessary parts

Technician Parts Sales:

Ensure all parts are invoiced to appropriate service, new vehicle and used vehicle repair orders
Ensure all special-order tie-up parts are accurately entered on appropriate parts slips
Serve customers in a courteous, helpful and professional manner
Assist in working with service department to expedite handling of price quotes and sales for pre-picking
Assist in issuing and charging all parts against appropriate work orders/requisitions for accurate inventory control

The successful candidate will have the following:

Education and Qualification

Completion of Secondary School
1-2 years previous Retail & Customer Service experience
Valid Driver’s Licence and acceptable Driver’s Abstract
Clean driving record, and reporting to management any circumstances regarding the status of this license

Language

Fluent in English, oral and written
Bilingualism, an asset

Skills & Abilities

Mature personality and sound judgement skills
Effective communication skills are required to deal with Service Advisors, Managers, Parts personnel, customers, and other dealership personnel on a regular basis
Good initiative, ambitious
Attention to detail, pride of workmanship
Able to use the specialized tools required associated with this profession
Strong team player with the ability to work independently
Reliable, professional and responsible;
Knowledge of Automotive Parts industry an asset;
Quick learner with strong computer skills;
Excellent customer service & interpersonal skills

Schedule:

Monday - Friday 11:00 am – 7:00 pm
Occasional Seasonal Saturday

Pay Structure:

$18.60 per hour

Plus Monthly Bonus

(Estimated Annual Income - $55,000 - $58,000)
