Full job description

Job Summary

We are seeking a dynamic and detail-oriented Office Administrator / Estimating Assistant to join our team! Green Leaf Contracting is a General Contractor working on Commercial and Residential fit-outs, new builds and accessibility upgrades across Toronto, Durham Region and the GTA. This vital role combines administrative expertise with estimating support, ensuring smooth office operations and accurate project cost assessments. You will be the first point of contact for clients and team members alike, providing exceptional customer service while managing essential clerical tasks. Your organizational skills and proficiency with office software will help drive efficiency and support our company's growth. This paid position offers an exciting opportunity to develop your administrative and estimating skills in a fast-paced, collaborative environment.

Estimating support

Manage the bid calendar — track opportunities, tender deadlines, addenda, and closing times
Issue bid invitations to subtrades and suppliers, and chase quotes to close
Organize and level subcontractor quotes into comparison sheets
Perform quantity takeoffs from drawings in Bluebeam or PlanSwift
Assemble and format bid submissions, prequalification packages, and supporting documents
Maintain the subtrade and supplier database, including WSIB clearance certificates and insurance

Office administration

Reception, correspondence, filing, and document control
Track contracts, change orders, purchase orders, and holdback documentation
Coordinate permits, site paperwork, and project closeout documents
Order supplies and support the project managers day to day
