Human Resources Associate

For over 35 years, The Safehaven Project for Community Living has been providing exceptional care to children with developmental disabilities and complex care needs.

Our mission is to provide high-quality, family-centered, and community-based residential and respite care for individuals with complex care needs.

Safehaven serves individuals with disabilities and their families, through respite and residential programs at our Toronto, Etobicoke, North York, Woodbridge, Elm Bridge and Aurora facilities, as well as client homes.

Role Summary:

The Human Resources Associate supports the Human Resources team with day-to-day operations and reports directly to the Associate Director, Human Resources.

We are seeking an experienced HR Associate to maintain accurate HR records, support compliance activities, and assist with employee relations inquiries. The role also includes collecting and recording HR information, maintaining the HR database, supporting employees with HR-related matters, and assisting with onboarding and offboarding processes.

Responsibilities:

Recruitment & Onboarding:

Partner with the hiring manager and Associate Director, Human Resources, to identify hiring needs and develop job descriptions.
Use various recruitment tools to attract candidates whose values and qualifications align with Safehaven’s mission and role requirements.
Assist the Senior Human Resources Associate with hiring, union classifications, seniority information, new-hire paperwork, and onboarding.
Coordinate internal and external recruitment postings for unionized positions, ensuring each posting includes accurate job and schedule details.
Respond to new-hire questions related to collective agreements.
Ensure vacancy postings comply with collective agreement requirements.
Review applications from job sites, shortlist qualified candidates, and provide recommendations to the hiring manager.
Schedule prescreening and formal interviews with hiring managers and relevant team members.
Complete reference checks and provide onboarding documents.

Employee Relations:

Provide responsive, professional HR support to employees across the organization in accordance with Safehaven policies and established employee relations practices.
Provide HR support to unionized and non-unionized employees, including responding to inquiries, supporting supervisors and managers, and escalating complex matters as appropriate.
Assist with labour relations matters, including collective agreement administration, grievance tracking, meeting preparation, documentation, and follow-up actions.
Support disciplinary processes by preparing documentation, coordinating meetings, and ensuring appropriate follow-up.
Support employees with workplace injury matters, return-to-work processes, and WSIB reporting requirements.
Work closely with the payroll team to ensure employee inquiries related to pay, benefits, vacation, leave, and final settlements are addressed accurately and in a timely manner.

HR Compliance:

Collaborate with the HR team in the development, review, and implementation of company policies and procedures.
Maintain the education and training tracking spreadsheet, follow up with employees and managers, and support ongoing compliance with training requirements.
Support HR compliance and audit activities by preparing, organizing, and maintaining employee records, training documentation, policy acknowledgements, and other required HR files.
Coordinate with managers, Client Care Coordinators, Nurse Educators, and internal and external trainers to collect documentation required for internal audits while maintaining the confidentiality and accuracy of HR records.
Ensure onboarding and offboarding processes are completed in accordance with Safehaven practices and applicable documentation requirements.
Other responsibilities and duties may be assigned, as required.

Qualifications and skills:

Diploma or degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and relevant experience.
Working toward a Certified Human Resources Professional designation, such as CHRP, is considered an asset.
Minimum of three (3) years of Human Resources experience, including high-volume full-cycle recruitment, employee relations support, or recruitment agency experience.
Strong organizational and time-management skills, with the ability to manage competing priorities and meet deadlines.
Excellent attention to detail, sound judgment, and problem-solving skills, with the ability to handle sensitive information with discretion and confidentiality.
Demonstrated ability to conduct structured, competency-based, and behavioral interviews using professional and consistent assessment practices.
Strong interpersonal and communication skills, with the ability to provide professional HR support to employees, supervisors, and managers.
Knowledge of HR practices, employment standards, collective agreement administration, recordkeeping, and compliance processes is an asset.
Proficiency with Microsoft Office applications and HR information systems- ADP (preferred), with the ability to maintain accurate records and reports.
