Car Parts Sales Associate / Administrative Assistant

The Car Parts Sales Associate / Administrative Assistant is responsible for assisting customers with automotive parts inquiries and sales while providing administrative and clerical support to the parts and office operations.

Typical Job Duties

Assist customers in person, over the phone, and by email with automotive parts inquiries.
Identify and recommend the correct automotive parts and accessories using electronic parts catalogs, manufacturer databases, and vehicle information.
Research part availability, pricing, compatibility, and specifications.
Prepare price quotations, sales orders, invoices, packing slips, and other sales documents.
Process sales transactions and maintain accurate customer and sales records.
Receive and process customer orders and coordinate the ordering of parts from suppliers.
Monitor parts orders and deliveries and follow up with suppliers regarding delays or shortages.
Maintain accurate inventory records and assist with stock counts and inventory reconciliation.
Receive, inspect, label, and organize incoming automotive parts shipments.
Process returns, warranties, exchanges, and related documentation.
Coordinate with mechanics, automotive repair shops, body shops, wholesale customers, suppliers, and other business contacts.
Recommend compatible replacement parts, used parts, and automotive accessories based on customer requirements.
Assist with shipping and receiving activities and prepare required shipping documentation.
Maintain organized electronic and paper files, records, invoices, purchase orders, and customer documentation.
Enter and update information in company databases, inventory systems, spreadsheets, and other computer systems.
Answer and direct telephone calls, respond to emails, and communicate with customers, suppliers, and other business contacts.
Schedule deliveries, pickups, appointments, and other business activities as required.
Assist with general administrative tasks, including data entry, filing, document preparation, photocopying, scanning, and maintaining office records.
Prepare and maintain daily, weekly, and monthly reports related to sales, inventory, purchasing, and administrative activities.
Assist management with preparing correspondence, forms, reports, and other business documents.
Maintain confidentiality and accuracy of customer, supplier, financial, and company information.
Keep the parts department and related work areas clean, organized, and properly maintained.
Perform other related parts sales, customer service, and administrative duties as required.

Skills & Qualifications

Knowledge of automotive parts, accessories, and basic vehicle systems.
Experience using electronic parts catalogues, vehicle parts lookup systems, or automotive parts databases such as car-parts.com or similar systems.
Strong customer service, communication, and interpersonal skills.
Basic computer skills, including Microsoft Office, email, spreadsheets, and point-of-sale (POS) systems.
Strong data-entry, record-keeping, and organizational skills.
Ability to prepare quotations, invoices, purchase orders, and other business documents accurately.
Ability to communicate effectively with customers, suppliers, mechanics, repair shops, and wholesale customers.
Strong attention to detail and ability to maintain accurate records.
Ability to prioritize multiple sales and administrative tasks and meet deadlines.
Ability to lift and move automotive parts, typically weighing approximately 25–50 lbs.
Ability to work independently as well as part of a team.
Previous experience in automotive parts sales, automotive recycling, salvage operations, or administrative work is an asset.

Pay: $17.60-$25.00 per hour
