Office-Based Position

Position Overview

Bridge to Care is seeking a highly organized, responsible, and compassionate IPSE Program Administrative Coordinator to provide centralized administrative and program coordination for our Inclusive Post-Secondary Education (IPSE) Program.

The IPSE Program Administrative Coordinator will work from the Bridge to Care office and support the overall day-to-day administration of the program. The successful candidate will help ensure effective communication, timely documentation, scheduling, reporting, and coordination among IPSE learners, families, IPSE Program Coordinators and Student Facilitators, post-secondary institutions, and government representatives.

This position requires excellent organizational and communication skills, attention to detail, and an understanding of working with individuals with disabilities within educational and community settings.

Key Responsibilities

The IPSE Program Administrative Coordinator will be responsible for:

Monitoring ShareVision daily to ensure required documentation and daily notes are completed accurately and on time.
Reviewing daily documentation and following up with IPSE Program Coordinators and Student Facilitators regarding missing, incomplete, or outstanding documentation.
Maintaining regular communication with IPSE Program Coordinators and Student Facilitators across participating post-secondary institutions.
Coordinating and maintaining communication with IPSE learners and their families/parents or guardians, as appropriate.
Communicating and coordinating with government caseworkers, program representatives, and other relevant government personnel.
Liaising with participating post-secondary institutions, including faculty members, professors, instructors, student-service departments, and other institutional staff.
Assisting with learner-related scheduling, meetings, program communication, follow-ups, and other administrative requirements.
Monitoring program schedules and ensuring relevant information and changes are communicated to appropriate staff.
Tracking documentation requirements and ensuring program records are maintained appropriately.
Supporting IPSE Program Coordinators with required weekly and monthly documentation and reporting.
Following up promptly when documentation, scheduling, communication, or other program concerns are identified.
Assisting with the coordination of meetings between Bridge to Care, learners, families, post-secondary institutions, and government representatives when required.
Maintaining organized and confidential learner and program records.
Ensuring confidentiality and professional handling of all learner, family, employee, and program-related information.
Providing additional administrative and coordination support necessary for the effective operation of the IPSE Program.

Qualifications & Education Requirements

Diploma or degree in Social Work, Social Services, Human Services, Psychology, Education, Special Education, Disability Studies, or another related field.
Candidates with education or experience in post-secondary education, student services, disability support services, educational administration, or community-based services will be strongly considered.
Previous experience working with individuals with developmental or other disabilities is considered a strong asset.
Experience working within a school, college, university, community service, disability-service, or social-service environment is preferred.
Knowledge of Inclusive Post-Secondary Education (IPSE) or previous experience supporting learners within a post-secondary environment is an asset.
Experience communicating and coordinating with learners, families, government caseworkers, educators, faculty members, and multidisciplinary teams is preferred.
Experience with electronic documentation, scheduling, or case-management systems such as ShareVision is an asset.
Equivalent combinations of relevant education and directly related experience may also be considered.

About the Role

The IPSE Program Administrative Coordinator will serve as a key administrative connection between Bridge to Care's office, IPSE Program Coordinators and Student Facilitators, learners and their families, participating post-secondary institutions, and government representatives.

The primary objective of this position is to ensure that the IPSE Program operates efficiently through consistent communication, accurate and timely documentation, effective scheduling and coordination, and appropriate administrative follow-up.

The successful candidate will contribute to Bridge to Care's commitment to providing high-quality, person-centred support that enables learners with disabilities to participate meaningfully in post-secondary education.

Pay: $24.20 per hour

Expected hours: 20.0 per week
