Inc. is a privately owned transportation company based in West Edmonton, Alberta, specializing in heavy haul, over-dimensional, and general freight transportation throughout Canada and the United States. Position Overview

We are seeking a highly organized, detail-oriented, and motivated Accounting & Administrative Assistant to join our growing transportation team in Edmonton. This position provides a combination of accounting, administrative, reception, and customer service support to ensure the smooth and efficient operation of our office.

The Accounting & Administrative Assistant will be responsible for supporting accounts payable and accounts receivable functions, maintaining accurate financial records, assisting with invoice processing and reconciliations, responding to customer and vendor inquiries, and providing general administrative and reception support.

The ideal candidate is organized, dependable, professional, and comfortable working in a fast-paced environment while managing multiple priorities and maintaining a high level of accuracy.

Key responsibilities:

Answer and direct incoming telephone calls and respond to general inquiries.
Greet visitors and provide general reception and administrative support.
Receive, review, code, and enter supplier invoices.
Match invoices to purchase orders, receipts, and supporting documents.
Reconcile vendor statements to outstanding invoices and company records.
Investigate discrepancies and follow up on missing invoices or credits.
Prepare invoices for approval and assist with payment processing.
Prepare and issue customer invoices accurately and on time.
Monitor accounts receivable balances and identify overdue accounts.
Follow up with customers regarding outstanding invoices and payment status.
Apply customer payments and assist with account reconciliations.
Respond to vendor and customer inquiries professionally and promptly.
Maintain organized electronic and paper accounting records.
Assist the accounting department with filing, data entry, and other administrative duties as required.

Requirements:

Minimum of 1-3 years of experience in accounting, accounts payable, accounts receivable, office administration, or a related field is preferred.
Previous experience in the transportation, trucking, logistics, or related industry is considered an asset.
Working knowledge of basic accounting principles and accounting procedures.
Strong attention to detail and a high level of accuracy when entering and reviewing financial information.
Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
Strong organizational and time-management skills with the ability to manage multiple tasks and priorities.
Strong problem-solving and analytical abilities.
Ability to investigate discrepancies and follow up effectively with customers, vendors, and internal departments.
Ability to work independently while also contributing effectively as part of a team.
Ability to maintain confidentiality and handle sensitive financial and business information appropriately.
Ability to work effectively in a fast-paced office environment.
