Full job description

The Municipal Administrative Assistant provides administrative, clerical, and customer service support to the Town's Office. The successful candidate will serve as the first point of contact for residents, visitors, contractors, and external agencies while assisting with the day to day operations of the municipal office.

This position supports the Town Council and municipal staff through a variety of administrative and organizational duties.

Key Responsibilities

-Greet residents, visitors, and contractors in a professional and courteous manner.

-Answer and direct telephone calls, emails, and other inquiries.

-Receive and process payments for municipal taxes, permits, services, and other fees.

-Maintain municipal records, files, correspondence, and office documents.

-Assist with the preparation, formatting, and distribution of Council meeting agendas, minutes, and related documents.

-Prepare letters, public notices, reports, and other municipal correspondence.

-Assist with permit applications, municipal forms, and public information requests.

-Schedule appointments, meetings, and facility bookings, as required.

-Maintain office supplies and coordinate routine administrative needs.

-Assist with social media updates, public notices, and community communications.

-Support the delivery of municipal programs, events, and projects.

-Protect the confidentiality of municipal records and information.

-Comply with all applicable Town policies, procedures, confidentiality requirements, and the Town’s Code of Conduct.

-Perform other administrative and office duties as assigned by the Town Clerk or Council.

Qualifications and Employment Requirements

-High school diploma is required.

-Post-secondary education in office administration, business administration, or a related field is considered an asset.

-Previous experience in an administrative or customer-service position is preferred.

-Strong organizational and time-management skills.

-Excellent written and verbal communication skills.

-Proficiency in Microsoft Office, including Word, Excel, and Outlook, as well as general computer applications.

-Ability to maintain accurate records and handle confidential information appropriately.

-Ability to work independently and as part of a team.

-Experience with bookkeeping, accounting software, or municipal administration is considered an asset.

- A valid driver’s licence is required

-Must agree to follow and comply with the Town of Sunnyside’s Code of Conduct.

-Occasional attendance at evening Council meetings may be required

The successful applicant must be bondable and proved a Certificate of Conduct

Pay: $20.00-$23.50 per hour
