What you’re responsible for delivering:

Financial Administration

Send client invoices and track receivables
Pay supplier and trade invoices
Maintain accurate job costing and track budgets
Prepare monthly summaries and assist with year-end financials

Owner Support & Communication Management

Manage the owner’s inbox and calendar
Coordinate meetings, schedule priorities, and keep things moving
Act as a gatekeeper for incoming communication and requests

HR Administration

Post job ads, coordinate interviews, and onboard new team members
Maintain vacation tracking, payroll records, and HR documentation
Liaise with our payroll provider to ensure smooth operations

Marketing & Sales Support

Schedule and coordinate social media posts
Keep the website up-to-date with current project photos
Assist with proposal formatting, document prep, and lead tracking

General Admin & Office Operations

Maintain records for licenses, warranties, and insurance
Order and track office and project supplies
Keep vendor accounts up-to-date (phones, software, etc.)
Support project managers with administrative tasks and project software updates
