Established to support Canadian forestry workers and their families, the IWA–Forest Industry Pension and LTD Plans provide pension and disability benefits and rehabilitation services to members. The plans are jointly trusted by union and industry appointees. With over $5 billion in assets, 350 participating employers and 65,000 members, the IWA–Forest Industry Pension Plan is one of Canada’s top 100 pension funds and is one of the top three private sector pension funds in BC. The IWA–Forest Industry LTD Plan was created almost a decade after the pension plan and now serves over 7,200 members across western Canada. Both plans are administered by the Plan Office, which manages plan assets and benefits. WHO YOU ARE

You will be responsible for the delivery of services to Plan members by managing the pension, reception, and mailroom staff. This includes managing union staff, document processes and adhering to pension administration best practices, overseeing workflow of the team including a small call center, handling escalated member issues, and assisting the Director, Pensions with coordination of pension projects. They will have significant experience in pension administration and will be relied upon to lead the team in administering the Plan.

You will be responsible for such things as:

1. Manage unionized staff which includes, but is not limited to:

Manage all time off requests
Coordinate work coverage
Organize and schedule training for new and existing staff
Recruit as required
Manage trial review, performance management, development plans, absenteeism programs and processes, and grievances.

2. Ensure processes and policies are properly documented and followed for the efficient and accurate operations of the team

Draft and maintain process documents that adhere to pension administration best practices
Train staff on processes, and communicating changes
Monitor staff for adherence to processes
Review accuracy of benefit calculations produced by the pension system

3. Oversee workflow of the team

Balance work between the team members
Help the team prioritize work, especially during busy periods
Make certain that we have adequate coverage for our call centre
Oversee the calendar of duties and coordinate with other managers and departments
Reassign work when there are extended absences or turnover

4. Correspond with members in escalated member matters

Speak with members over the phone or in person
Review member files in complex situations
Resolve challenging member cases through knowledge of plan provisions and pension legislation

5. Assist the Director, Pensions with recurring pension deliverables such as:

Monthly payroll
Year-end membership reconciliations
Annual tax slips for pensioners
Annual break-in-service packages
Annual statements
Pop-up sessions held throughout BC (including travel)
Filings with BCFSA
Benefit improvements
Review communication materials

YOU HAVE/ARE

University degree, preferably in business or human resources, as well as a minimum of five years of pension administration experience. Industry specific training like CEBS or actuarial knowledge would be an advantage.
Excellent skills in people management within a unionized environment, with an ability to build relationships will be a key asset. A high degree of initiative and a respectful approach to conflict resolution is essential. Must display discretion and sensitivity in dealing with confidential matters.
Proven project leadership skills experience and a proactive approach to work.
Excellent interpersonal, verbal, and written communication skills, with an ability to focus on developing processes to improve operational efficiencies while maintaining service quality and simultaneously fostering a culture of cooperative teamwork.
Excellent organizational and administrative skills with the ability to balance competing priorities and effectively manage with changing situations, while meeting deadlines and displaying attention to detail in all areas of work.
Knowledge of pension legislation and pension administration best practices are essential.
High proficiency in Microsoft Office, including Excel, Word and Teams. Experience with pension administration software is preferred.
