Recruiter / Staffing Specialist

Hours: Full-time | 40 hours per week | Monday–Friday | 8:00 AM–4:00 PM

We help employers manage a broad range of human resources activities, including staffing, employment contracts, payroll, performance, workplace policies, benefits, health and safety, and employment standards compliance. Position Summary

The Recruitment Specialist supports AES clients with full-cycle temporary recruitment and workforce coordination across manufacturing, construction, logistics, warehousing, warehouse operations, skilled trades, and transportation environments and more. This role is responsible for sourcing, screening, interviewing, onboarding, and dispatching qualified workers while ensuring compliance with employment standards, immigration requirements, health and safety protocols, and AES onboarding processes. The role focuses on delivering efficient staffing solutions with strong attention to quality, retention, and client service.

Key Responsibilities

Provide exceptional client service by managing temporary workforce, building strong client relationships, and acting as a trusted staffing partner to understand labour requirements.
Manage the full-cycle temporary staffing process from client job order intake through candidate sourcing, screening, interviews, onboarding, dispatching, assignment management, extensions, and completion or termination of assignments.
Partner with client contacts, supervisors, and hiring managers to understand hiring needs, production demands, skill requirements, safety expectations, and site-specific requirements to ensure successful placements.
Travel regularly to client locations and work on-site as required to conduct check-ins, job site inspections, and client meetings; maintain strong client relationships, evaluate service levels, gather feedback, address concerns, and identify opportunities for improvement.
Source, recruit, and maintain a pipeline of qualified temporary talent across construction, restoration, manufacturing, food & beverage, warehouse, logistics, and transportation industries, including labourers, production workers, forklift operators, AZ/DZ/Class G drivers, warehouse associates, and other skilled candidates through job boards, referrals, industry networks, social media, community partnerships, and targeted outreach.
Manage temporary employee relationships throughout assignments by conducting check-ins, addressing attendance and performance concerns, supporting issue resolution, and ensuring a positive experience for both employees and clients.
Support workplace health and safety compliance by coordinating WSIB injury reporting, incident documentation, and return-to-work processes while ensuring staffing practices align with the Employment Standards Act (ESA), Ministry of Labour (MOL) requirements, client policies, and company procedures.
Maintain accurate ATS records, including candidate profiles, screening notes, client requirements, job orders, placements, availability, and recruitment activity, while monitoring staffing metrics such as fill rates, retention, attendance, client satisfaction, and account performance.
Manage temporary employee timekeeping and payroll administration by collecting, verifying, and entering hours worked, resolving timesheet discrepancies, and collaborating with payroll, operations, and clients to ensure accurate payroll processing, client billing.

Qualifications

Post-secondary education in Business, Human Resources, Marketing, or a related field (completed or in progress).
Previous experience in recruitment, staffing, account management, customer service, B2B sales, or another client-facing role is required.
Demonstrated ability to build strong client relationships, deliver exceptional customer service, and manage multiple client accounts in a fast-paced environment.
Experience sourcing, screening, interviewing, onboarding, and managing candidates throughout the recruitment and assignment lifecycle.
Strong proficiency with Applicant Tracking Systems (ATS), CRM platforms, Microsoft Office, and other technology-based tools. Experience with recruitment software and social media sourcing is an asset.
Strong organizational, communication, and time management skills with the ability to prioritize competing demands while maintaining attention to detail.
Valid Ontario G Driver's Licence and access to a reliable vehicle are required, as regular travel to client sites for meetings, workforce check-ins, site inspections, and recruitment activities is part of the role.
Experience recruiting within construction, restoration, manufacturing, food & beverage, warehouse, logistics, transportation, or other industrial sectors, and using structured recruitment processes and interview guides, is considered an asset.
