Scarborough Centre for Healthier Communities is recruiting for this role on behalf of the Scarborough Ontario Health Team.

Company Biography:

Scarborough Ontario Health Team (SOHT) is a network of 40 partner organizations dedicated to serving one of Canada’s most diverse communities. We bring together community support, home care, and mental health and addictions providers; long-term care and retirement homes; family doctors and other primary care providers; hospitals; as well as community members and client and family advisors to plan and deliver better connected health and social services across Scarborough.

As one of the largest Ontario Health Teams, SOHT proudly supports 850,000 people living in Scarborough and beyond, who come from many different backgrounds and lived experiences. We are committed to meeting our community’s unique needs, achieving greater equity and population health, and making it easier for everyone to get care when and where they need it.

SOHT partners are working together with hundreds of physicians within Scarborough and our active Client and Family Advisory Committee (CFAC) to co-design innovative, integrated solutions for providing care. Position Overview:

Reporting to the Director, Scarborough Ontario Health Team, the Coordinator is responsible for supporting the SOHT team in the execution, implementation and tracking of various initiatives, operational tasks, and implementations across the SOHT portfolios.

This is a 1.0 FTE contract for 6 months.

The per hour rate will be between $30 to $34.

Responsibilities:

· Provides input and actively participates in idea generation and decision-making processes

· Participates in stakeholder engagement, outreach, and facilitates meetings

· Works collaboratively with team members and partner organizations on initiatives

· Participates in research, data collection, and provides data analysis

· Creates and updates project implementation dashboards for leadership and governance reviews

· Liaises with leadership and team members to ensure completion of project deliverables

· Works in collaboration with stakeholders to develop strategic agendas, goals, and meeting materials

· Ensures projects are aligned with OHT strategic priorities

· Effectively captures key decisions and follows up with stakeholders to ensure completion of action items

· Extracts data from Ministry of Health, Ontario Health, or OHT partners and presents it visually for SOHT leadership or external stakeholders

· Manages meeting invites and distribution lists

· Responds to email inquiries from agencies and members of the public in an appropriate and timely manner

· Maintains and organizes SharePoint (i.e., uploads and ensures appropriate storage of records and access to files for relevant team members)

· Effectively communicates key documents, information, and updates to stakeholders

· Updates financial tracker and manages invoice processing

· Prepares agendas, minutes, reports, and presentations for committees and governance meetings

· Creates spreadsheets for data collection and financial tracking

· Creates and disseminates monthly newsletters to partner organizations

· Drafts proposals, briefs, reports and submissions for regional or provincial reports and/or funding proposals

· Updates websites and social media channels

· Supports/leads data collection, analysis, and provides recommendations

Requirements:

Post-Secondary Degree in Communications, Business Administration, Public Health, Office Administration or equivalent
A minimum of 2 years work experience in project management, specifically project coordination and administrative tasks in the health and community sector setting
Experience in drafting proposals, writing briefs, and budget tracking and monitoring
Ability to develop reports and presentations for various stakeholders
Exceptional written and verbal communication skills, as well as attention to detail and proofreading
Critical thinking and strong ability to work independently and proactively anticipate needs of work that needs to be done
Demonstrated excellence in interpersonal, written and verbal communication skills including, ability to demonstrate tact and diplomacy with diverse groups of stakeholders, including patients, front-line healthcare providers, community agencies, and healthcare administrators
Maintain a high degree of confidentiality
A learning mindset with capacity to pick up core business processes over time
Extremely flexible to changing workloads, work schedules, duties and responsibilities
An effective communication style which is confident, timely, and professional
Experience with communications including external stakeholders, change management, and collaborative cross-sectoral culture
Engages in ethical conduct and strives to understand and appreciate the diversity of our patient/staff population and community
Excellent work performance and attendance
Reading and writing skills in another language (i.e., Tamil, Bengali, Mandarin, Cantonese, Tagalog) is an asset
Knowledge of Scarborough community is an asset, including health and social care organizations, grassroot organizations, and established community communication channels
Proficient knowledge of MS365 software applications
Superior time management skills, multitasking skills, and the ability to prioritize tasks
Creativity, problem-solving skills, resourcefulness and flexibility
Able to stay focused, work well under pressure and meet set deadlines.
