Reporting to the Functional Manager, Administrative & Executive Support, or Administrative Support Supervisor, the Administrative Assistant is responsible for performing a variety of complex administrative tasks requiring a thorough knowledge of company and/or project policies and procedures. This position requires the ability to work independently and as part of a team, exercising judgment and initiative, and may be required to provide support for several departments. This role will be based in Mississauga, ON.
Under minimal supervision and with a high degree of confidentiality and diplomacy, the Administrative Assistant is accountable for providing senior-level administrative support to ensure the smooth and successful operation of the office and associated projects.

Providing comprehensive and proactive administrative support, exercising sound judgment, discretion, and confidentiality in support of managers, project teams, and multiple departments as required.

Managing calendars, priorities, and communications (including email monitoring where applicable), anticipating conflicts and responding effectively to changing deadlines, priorities, and project/business needs.

Coordinating internal and external meetings and events, including scheduling, preparation of materials, minute-taking, and follow-up actions.

Acting as a professional liaison with internal stakeholders and external clients, suppliers, partners, and government contacts, handling sensitive information with integrity and diplomacy.

Administering travel arrangements, expense reports, timesheets, and reporting activities, ensuring accuracy and compliance with corporate and project policies, procedures, and codes of conduct.

Maintaining accurate project records, databases, documentation and knowledge management systems.

Supporting special assignments and ad hoc initiatives as required, contributing to continuous operational efficiency and effective project delivery.

Fiscal responsibility as required.
Extent of Public Contact:

Customers, suppliers, partners, government agencies, contractors, and all levels of management and personnel.

Post-secondary education or related business diploma/certificate.

Minimum of 3 years of administrative experience.

Experience working in a consulting firm and/or knowledge of engineering terminology and document types considered an asset.

Experience with ORACLE considered an asset.

Experience with Concur considered an asset.

Working knowledge of SharePoint and Document Control modules considered an asset.

Advanced computer skills with Microsoft Office (Word, PowerPoint, Excel, Calendar).

Demonstrated ability to handle sensitive issues with confidentiality and professionalism.

Highly organized, detail-oriented, and able to manage multiple priorities.
