Job type

Currently, we are looking for one full-time Front Desk Associate.

Shift & schedule

· 5 days/week – (Monday to Friday; 7 to 8 hour daily shift – details to be discussed with applicants during job interview)

· Front Desk Associates (FDA) are responsible for providing exceptional service and hospitality. FDAs manage all aspects of clinic Front Desk operational and client-service related tasks and provide consistent support to our team of therapists treating at each clinic.

Who We Are

Donwood Physiotherapy is a community-based physiotherapy clinic, that places patient centered care and experience above all else. We focus on expert physiotherapy and massage therapy, with a strong focus on one-one care to optimize results for our patients.

Job Responsibilities

· As a member of the Donwood Physiotherapy team, provide all clients exceptional service and hospitality, warmly greeting patients by name.

· Collaborate with other members of the FDA team to manage clinic effectively.

· Introduce new client inquiries to our services clearly, confidently, whether via phone, walk in or written communication.

· Constantly monitor and manage the clinician schedule, including implementing best practices around shift optimization, initial booking strategy and waitlist management

· Appropriate, accurate and timely billing practices

· Able to use excel, word, learn Jane software used at clinic.

· Maintain organized notes for clear communication amongst colleagues and patients.

· Consistently monitor and maintain clinic organization and cleanliness: including regular sanitization of treatment rooms & clinic space, cleanup of equipment, wipe down of surfaces, replenishment of therapist equipment, monitor clinic supplies, and other necessary tasks.

· Monitor and engage in consistent client follow up.

· Maintain consistent communications with front desk administration and clinic staff.

· Share insights from daily shifts, therapists, and client feedback as necessary.

Who We're Looking For

· You have prior experience working in a healthcare environment.

· New Graduates of administrative assistant programs are welcome to apply.

· Able to work Monday-Friday: 7 to 8 hour work shift.

· You are punctual, reliable, kind, and motivated.

· You care deeply about ensuring positive client interactions and experiences.

· Able to communicate clearly with patients –can clearly communicate treatment services, clinic ethos and value to our clients.

· Able to communicate clearly with team members – transition with other front desk associate, changes to scheduling, feedback from patients.

· You’re passionate about quality of care, excellent patient experience.

· You perform your job duties with respect, compassion, kindness.

· You are able to solve problems, answer questions, ask questions and continually grow.

· You are self motivated, able to work independently and in team environments.

· You are able to use time effectively to meet the needs of the clinic.
