Receptionist / Administrative Assistant

Pay: Starting at $19.00 per hour
Schedule: Monday to Friday

About Watersmith CPA

Watersmith CPA is looking for a friendly, organized, and dependable Receptionist / Administrative Assistant to join our accounting office.

As the first point of contact for many of our clients, this position plays an important role in creating a welcoming and professional experience while helping keep the day-to-day operations of the office organized and running smoothly.

We are looking for someone who is comfortable working with people, has strong attention to detail, and can confidently manage a variety of administrative responsibilities in a professional office environment.

Responsibilities

Greet clients and visitors in a friendly and professional manner
Answer, screen, and direct incoming telephone calls
Respond to general emails and client inquiries
Schedule appointments and assist with maintaining office calendars
Receive and organize documents dropped off by clients
Assist clients with document pickup and other front-desk requests
Scan, photocopy, print, and file documents
Maintain organized electronic and paper filing systems
Enter and update client information as required
Prepare letters, forms, correspondence, and other office documents
Track outstanding client information and follow up when necessary
Assist with incoming and outgoing mail
Maintain office supplies and general front-office organization
Provide administrative support to accountants and bookkeeping staff
Assist with additional office duties during busy tax seasons
Maintain strict confidentiality when handling client, financial, and personal information

Qualifications

Previous receptionist, administrative, or customer service experience is preferred
Strong communication and interpersonal skills
Friendly and professional telephone manner
Excellent organizational skills and attention to detail
Ability to prioritize and manage multiple tasks
Comfortable working with computers and learning new programs
Experience with Microsoft Outlook, Word, and Excel is an asset
Reliable, punctual, and able to work independently
Comfortable working as part of a small professional team
Ability to handle confidential and sensitive information appropriately

Previous experience in an accounting, bookkeeping, financial, legal, or other professional office environment is considered an asset but is not required.

Knowledge of QuickBooks, Sage, bookkeeping, payroll, or tax preparation software would also be considered an asset.

Position Details:

This is a full-time, Monday-to-Friday position with a starting wage of $19.00 per hour.

Hours may become busier during tax season, so the successful candidate should be comfortable working in a fast-paced environment and adapting as priorities change.
