About the Role

A busy business owner is seeking an experienced Executive and Personal Assistant to support both professional and household operations. This is an in-person role combining inbox and calendar management, client correspondence, local errands, and general office support.

This is not a junior position. The right candidate works independently, anticipates needs, and exercises strong judgment about what to handle and what to escalate. The schedule is designed for someone who needs their workday to end by 3:00 p.m.

Key Responsibilities

Executive Support (approx. 60%)

Manage the Principal's inbox: triage daily, respond to routine messages promptly, and draft replies in the Principal's voice for approval
Communicate with clients and vendors on the Principal's behalf
Manage the business calendar, schedule meetings, and resolve conflicts
Track expenses, organize receipts, and assist with monthly reconciliations
Maintain digital and physical filing systems

Personal & Family Support (approx. 20%)

Coordinate family scheduling, appointments, and household logistics
Run local errands: post office, shipping, pickups, returns
Oversee household vendors and routine maintenance scheduling

Office & Flex (approx. 20%)

General office support: receiving shipments, restocking supplies, preparing outbound packages
Occasional light assistance with phone-based video (filming only, never on camera)
Step in as needed; no task is too small

Qualifications

5+ years of experience as an Executive Assistant, Personal Assistant, office manager, or comparable role
Excellent written communication with the ability to learn and match another person's writing style (this will be assessed during hiring)
Demonstrated ability to work independently with minimal supervision
Valid Ontario driver's licence and reliable vehicle
Proficiency in Google Workspace, Microsoft Office, and scheduling tools
Absolute discretion regarding business and family matters; an NDA is a condition of employment

Pay: $25.00-$30.00 per hour
