The Whispering Pines / Clinton Indian Band (WPCIB) is one of the seventeen bands within the Secwepemc territory. Traditionally from the Clinton area, WPCIB membership includes ancestral lineage from both the Pelltíq’t te Pésellkwes (People of the White Earth/ Kelly Lake) and Steke’7ús (People of the Little Hanging Bridge (Big Bar)). The TSO Office Assistant will provide comprehensive administrative and organizational support as needed throughout all areas of the department.
Key Duties and Responsibilities
- Provides front-line administrative support by greeting visitors, answering phone calls, and responding to email inquiries in a professional and timely manner.
- Oversees the day-to-day operations of the office including ordering supplies, ensuring general office organization and tidiness, and communicating office closures;
- Assists with inputting payable invoices and preparing receivable invoices for billable work accurately and efficiently;
- Assists with maintaining accurate and up-to-date information within the safety management software;
- Coordinates meetings by preparing agendas, booking venues, sending out meeting invites, and preparing meeting packages and meeting minutes;
- Assists with coordinating property maintenance and repairs as needed;
- Supports organizational communications by designing promotional materials and creating and posting content for social media platforms.;
- Manages calendars, schedules appointment, and books training and travel arrangements as needed;
- Screens and sorts incoming mail and deliveries and prepares outgoing mail;
- Performs various clerical duties including filing, data entry, photocopying, scanning and disseminating documents;
- Maintains an electronic filing system;
- Assists colleagues with tasks and projects;
- Assists with special projects as needed;
- Other duties as assigned.
Qualifications
- Certificate in Business/Administration preferred;
- 2+ years experience working within a similar role;
- Intermediate MS Office 365 skills;
- Knowledge of Secwepemc Nation history and culture considered an asset;
- Valid Class 5 driver’s license.
