Site Administrator – Maintenance Turnaround (CNRL Horizon)
Altex Industries Inc. is a leading Canadian company specializing in the fabrication, manufacturing, and field servicing of industrial air coolers, heat exchangers, and pressure vessels for the Oil & Gas, Petrochemical, Power Generation, and Industrial sectors. With a strong commitment to safety, quality, and customer service, we are seeking experienced Site Administrators to join our Maintenance Turnaround team supporting projects at CNRL Horizon.
This is a camp-based field position requiring a highly organized individual who thrives in a fast-paced environment and can effectively manage multiple priorities while supporting field operations.
Position Summary
In close cooperation with the Home Office Administration team and Site Project Manager, the Site Administrator will provide administrative, payroll, onboarding, and reporting support for maintenance turnaround projects. This role is responsible for coordinating manpower requirements, employee onboarding, travel and camp logistics, timesheet reconciliations, payroll support, daily reporting, and project documentation.
This position will begin with a pre-job schedule and transition into a turnaround schedule.
Flights (Edmonton and Calgary) and camp accommodations are provided.
Training will be provided at the Altex head office prior to mobilization to site.
Responsibilities
- Create, review, and submit manpower requests to the appropriate union halls.
- Act as the primary point of contact for dispatched union craft and non-union personnel.
- Coordinate onboarding activities and ensure all required documentation and training are completed prior to site arrival.
- Schedule pre-access Alcohol and Drug testing for site personnel.
- Submit personnel information to CNRL Security for site access clearance.
- Coordinate charter flights and camp accommodations using CIRYS.
- Review and reconcile daily timesheets against swipe reports.
- Coordinate with the main office and field supervision to resolve payroll discrepancies.
- Produce daily field reports, including DFRs and CDRs.
- Create and submit daily Labour Equipment Manifests (LEMs).
- Audit, reconcile, and submit payroll timesheets and LEMs within required deadlines.
- Reconcile payroll hours to ensure accuracy.
- Issue employee swipe cards.
- Create overtime request forms, as required.
- Track Travel Assistance Program (TAP) requirements, where applicable.
- Provide administrative support to the Site Project Manager.
- Maintain organized and accurate project files and documentation.
Qualifications & Experience
- Post-secondary education in Accounting, Business Administration, Office Administration, or a related field is preferred.
- Minimum 1-2 years of shutdown experience in an industrial environment.
- CNRL Horizon experience is required.
- Previous experience working in a camp-based field environment.
- Experience with onboarding employees, collecting safety certifications, and coordinating camp accommodations.
- Payroll, timesheet reconciliation, and project administration experience.
- Experience working with union collective agreements is considered an asset.
- Strong organizational and time management skills.
- Exceptional attention to detail and accuracy.
- Strong communication skills, both verbal and written.
- Ability to work under pressure and manage multiple priorities simultaneously.
- Strong problem-solving and analytical abilities.
- Ability to maintain a high level of confidentiality.
- Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
- Ability to work effectively with individuals at all levels and from diverse backgrounds.

- CSTS-09 or CSTS-2020

Schedule
Pre-Job Schedule
- 4 days on / 3 days off
- 10-hour shifts
Turnaround Schedule
- 6 days on / 1 day off
- 12-hour shifts
- Day and night shifts required
