Through both Nitehawk and Bear Paw, we create programs, events, and outdoor experiences that bring people together and support active, healthy lifestyles.
Position Summary
We are seeking a motivated and organized Events & Sponsorship Coordinator to support the growth of our facilities through events, sponsorships, fundraising initiatives, and community partnerships.
This position is responsible for planning and coordinating events at both locations while building strong relationships with sponsors, community organizations, and business partners. The successful candidate will help create positive guest experiences and contribute to the continued growth and sustainability of the organization.
The ideal candidate is professional, community-minded, and comfortable working in a fast-paced environment. They will have strong organizational skills, the ability to manage multiple projects, and confidence in leading events and developing partnerships.
Key Responsibilities: Event Planning & Coordination
- Plan, organize, and execute a variety of events, including festivals, fundraisers, corporate functions, and community events
- Coordinate event logistics, including scheduling, vendors, staffing, setup, permits, ticketing, and guest services
- Oversee events onsite and respond to operational issues as needed
- Work closely with marketing, operations, and leadership teams to ensure successful event delivery
- Complete post-event evaluations and provide recommendations for future improvements
Sponsorship & Partnership Development
- Identify and pursue new sponsorship and partnership opportunities
- Build and maintain relationships with sponsors, donors, businesses, and community organizations
- Develop sponsorship packages and promotional opportunities that align with organizational goals
- Manage sponsorship agreements, deliverables, and reporting requirements
- Support fundraising initiatives and other revenue-generating activities
Financial & Administrative Responsibilities
- Develop and manage event budgets while meeting financial targets
- Track expenses, sponsorship revenue, and event performance
- Maintain accurate records, contracts, and event documentation
- Ensure events comply with health, safety, insurance, and regulatory requirements
Qualifications & Experience
- Experience in event coordination, sponsorship development, fundraising, or a related field
- Strong networking and relationship-building skills
- Excellent organizational and project management abilities
- Strong communication and interpersonal skills
- Experience working with budgets and financial tracking
- Ability to work independently and as part of a team
- Will need to get or have a food safe certificate, Serving It Right certificate, and valid first aid
- Proficiency in Microsoft Office, Canva, and event management software
- Strong problem-solving skills and the ability to remain calm under pressure
- Flexibility to work evenings and weekends during events when required
