Job Overview
We are a fast-growing international food trading company looking for a friendly, responsible, and detail-oriented Office Assistant to join our team.
This is a hands-on role that combines general office administration, customer service, product documentation, food label preparation, data entry, and basic logistics coordination. You will work closely with our team and assist with a variety of day-to-day tasks that help keep our office and operations running smoothly.
We are looking for someone who is organized, willing to learn, comfortable communicating in both Mandarin and English, and happy to take initiative when something needs to be done. Responsibilities
- Assist with daily office operations and general administrative tasks
- Answer incoming phone calls professionally and direct inquiries to the appropriate team member
- Provide friendly and professional customer service by phone and email
- Respond to general customer inquiries and assist with basic follow-ups
- Schedule and coordinate truck appointments, pickups, and deliveries
- Communicate with warehouses, drivers, carriers, customers, and internal team members regarding basic logistics arrangements
- Follow up on delivery schedules and help maintain accurate appointment and shipment records
- Organize, maintain, and update company files, records, and documents
- Assist with preparing, reviewing, and organizing food labels and related product documentation
- Maintain and update product information, specifications, label files, and supporting documents
- Perform accurate data entry and maintain internal records and databases
- Prepare and update documents using Microsoft Word and Excel
- Assist with filing, document organization, proofreading, and general clerical tasks
- Support team scheduling, coordination, and routine administrative follow-ups
- Assist with other office and operational tasks as needed
Qualifications
- Good verbal and written communication skills in both Mandarin and English
- Proficiency in Microsoft Office, particularly Word, Excel, and Outlook
- Strong computer skills and ability to learn new software, systems, and processes
- Excellent attention to detail and a high level of accuracy
- Strong organizational and time-management skills
- Comfortable answering phone calls and communicating professionally with customers and business partners
- Responsible, dependable, hardworking, and willing to learn
- Ability to take initiative and follow through on assigned tasks
- Ability to manage multiple priorities in a fast-paced work environment
- Ability to work independently while also collaborating effectively with a team
- Previous experience in office administration, customer service, data entry, logistics coordination, or a related role is preferred
- Basic knowledge of the food industry, logistics, warehousing, or international trade is an asset

Monday to Friday
9:30 AM – 5:30 PM
