Detailed Overview: This combined role performs two separate sets of duties at Peace Arch Hospital. For part of the shift, performs unit clerk duties such as records unit admissions, discharges, and transfers, provides reception and clerical functions to assigned units, prints daily flowsheets and staffing rotations, transcribes assignments, and schedules appointments for patient/resident activities. Works collaboratively with the interdisciplinary team to meet the needs of patients/residents and families. For the balance of the shift, performs outpatient OR booking duties such as preparing, maintaining, distributing and making revisions to the outpatient/ambulatory operating room or surgical slates, utilizing a computerized scheduling system, subject to review by a Registered Nurse or designate. Responsibilities:
Unit Clerk Duties
- Records unit admissions, discharges, and transfers, and reports this information to the Admitting Department in accordance with established procedures. Maintains patient/resident records by setting up charts, adding and removing forms, and deliverying health records to the Health Records Department, in accordance with established procedures. Collects and communicates discharge data for referral, and collects and reports unit statistics.
- Performs reception duties, including gretting and directing visitors, taking messages, answering routine inquiries, directing calls, and opening and distributing mail.
- Receives calls from nursing staff regarding illnesses and absence from work, and as directed, contacts the Staffing Office to arrange for relief, in accordance with well-defined policies, procedures, and guidelines, to ensure sufficient staff on the unit; transcribes staffing requirements, including vacation coverage, and submits information to the Staffing office, in accordance with established procedures.
- Assists with payroll by noting hours of work and forwarding to appropriate personnel for approval. Edits timekeeping system as directed by Manager or designate.
- Performs clerical duties, including maintaining and updating lists and records such as patient/resident care lists and staff call lists, in accordance with established procedures. Maintains unit stationary and supply levels by monitoring stock, preparing requisitions, obtaining supplies as needed, and restocking supplies when delivered. Completes equipment repair and maintenance orders as directed. Files, enters computer data, types, and photocopies.
- Transcribes Physicians' orders, including test requisitions and medication and dietary requirements, by copying information, completing required forms, and distributing in accordance with Hospital policy.
- Schedules patient/resident activities, including diagnostic procedures, appointments, and transportation, by contacting appropriate departments, Physicians' offices, and outside agencies. Maintains related records.
- Transcribes staff orientation shifts and student assignment on to daily assignment sheets. Participates in the orientation of Unit Clerk students.
- Provides information to the Manager, including information about required levels of materials and supplies.
- Performs other related duties as assigned.
Outpatient OR Booking Duties
- Reviews outpatient surgical booking packages for completeness such as surgery to be performed, lab work, pre-admission tests, special equipment needs, surgical assists and computer documentation as per established policies and procedures.
- Prepares, updates and distributes outpatient OR slates using a computerized scheduling system by gathering patient information such as patient's name, type of surgery and attending physician. In collaboration with the Surgeon's office, assigns patients to the outpatient OR slates according to type and expected duration of surgery.
- Adjusts the initial slate using information such as changeover procedures and blood requirements; recommends staffing needs according to established procedures which ensure the effective and efficient utilization of outpatient surgical beds.
- Coordinates activities with the outpatient surgical medical staff, medical offices and various departments regarding surgical bookings. Notifies appropriate areas of discrepancies or adjustments to be made to the outpatient OR slates.
- Inputs patient information into a computer and maintains current computerized waiting list for outpatient surgical procedures as required; enters, reconciles and/or cancels patient information in meditech and outpatient surgical patient registry and enters surgical clarification/completion data in to the electronic medical record. Monitors outpatient surgical cancellations and reschedules according to established policies and procedures.
- Reviews and maintains current records for physician's vacations, on-call schedules, requests and acceptance of unused surgical blocks in order to effectively book procedures. Makes revisions to booking model and reviews bookings which have not been scheduled. Verifies and enters cancellations; re-files or returns documentation to physician's office.
- Maintains filing systems by performing duties such as indexing, labeling and filing materials.
- Assists in the preparing of statistics and waitlists by running reports as required by the Ministry of Health to ensure pertinent data is shared.
- Performs clerical functions such as acting as a receptionist and greeting and directing visitors and patients to appropriate locations.
- Performs other related duties as required.
Qualifications:
Education and Experience
Grade 12 and graduation from an approved Nursing Unit Clerk program, plus one (1) year of recent, related experience, or an equivalent combination of education, training and experience.
