Position Summary:
The Receptionist/Schedule Coordinator is part of the Administration and Human Resources teams and is responsible primarily for reception duties, and basic scheduling duties. These positions cover both the scheduling desk and the reception desk at designated times. They support the administrative and HR functions of Shalom Manor Long Term Care Home and Shalom Manor Non-Profit Seniors Assisted Living. All work shall be done in accordance with the Mission, Vision and Values of the Home, Resident Bill of Rights, applicable legislation and regulations, corporate policies and procedures and collective agreements.
Required Qualifications/Experience:
· Diploma in Health Office Administration/Office Administration preferred
· Demonstrated proficiency in operation and use of a computer, related technologies and software required, mainly Microsoft Office
Previous scheduling experience, preferably in a healthcare setting is an asset.
· Ability to work both independently (self-directed and motivated) and as part of a team
· Demonstrated problem-solving skills
· Ability to address conflict positively
Key Accountabilities:
Reception:
· Answer all inbound calls, greet visitors at reception and assist with general inquiries
· Manage petty cash for operations and for resident’s trust
· Purchase and manage office supplies
· Manage cash, electronic and cheque receipts processes; including entering into the donor management software and preparing supporting documents.
· Verify contractor sign-ins and view security monitors
· Providing support to the accounting and administrative functions as needed
Scheduling:
· Complete scheduling and payroll functions for the Programs & Support Services, Nursing and Dietary departments, ensuring all shifts are filled, and if unable to fill a shift communicating promptly to the appropriate department manager or designate.
· Work with individual department managers to ensure adequate distribution of staff during periods of staffing shortages.
· Replacing call-in vacant shifts for all departments.
· Ensure vacant shifts are filled in a timely manner as required according to organization policies and procedures and the collective agreement
· Promote good understanding and teamwork between home areas, shift and all departments.
