Overview
We are seeking a detail-oriented and organized Office Administrative Assistant to support our daily operations. This role is essential in maintaining efficient office functions, providing excellent customer service, and ensuring smooth communication across departments. The ideal candidate will have strong clerical skills, proficiency in office software, and experience in administrative support within a professional environment. Prior experience with medical or dental offices is a plus, but not required. Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks as needed
- Handle filing systems, document management, and record keeping to ensure easy retrieval of information
- Provide customer support by addressing inquiries via phone, email, or in person
- Assist with appointment scheduling, calendar management, and reminder calls for clients or patients
- Support bookkeeping activities such as invoicing, billing, and basic financial recordkeeping
- Proofread documents for accuracy and clarity before distribution
- Maintain organized workspaces and ensure office supplies are stocked and properly stored
- Collaborate with team members to streamline administrative processes and improve office efficiency
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong typing skills with high accuracy; familiarity with data entry tasks
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Knowledge of clerical procedures, including filing, photocopying, and document management
- Exceptional customer service skills with professional phone etiquette and communication abilities
- Experience working at the front desk or handling multi-line phone systems preferred
- Attention to detail for proofreading documents and managing records accurately
- Prior experience in medical or dental office settings is advantageous but not mandatory
- Ability to adapt quickly to new software or procedures and demonstrate strong computer skills
Pay: $18.50-$20.00 per hour
