We are looking for a Client Experience Coordinator who radiates warmth and friendliness and embodies all our values. This is an extremely important position to us. You are the first contact for anyone who calls or comes in to see us. You set the tone for all client interactions, and for all staff during their work day. Your tasks will include:
● Greeting clients, families and clinic guests
● Appointment scheduling
● Clinic and office organization and cleanliness
● Ordering and maintaining inventory of office and therapy supplies and products
● Accepting and documenting payment for therapy services
● Ensuring therapy rooms are ready for client visits
● Issuing communication and correspondence to clients and community partners
● Prompt follow up with clients regarding no-shows or outstanding accounts
● Support the team in the delivery of exceptional client service
● Managing workflow - reviewing jobs that are due each month, following up on status of jobs, making sure all deadlines are met.
● Managing front desk scheduling
● Billing to third party payers and funders
● Managing contracts with various organizations
● Typing, proofreading, formatting, photocopying and assembling documents to support therapists
● Assisting clients with funding application documents
● Administrative support for meetings (e.g. minute taking)
● Support the management of social media, communications and website
● Develop and distribute emailed newsletters to clients and partners
● Regularly check office and therapy equipment to ensure proper maintenance
● Support business related tasks
● Assisting in the overall goal of growing the practice through customer service, marketing and administration
● Marketing event planning
● Other projects as assigned
Job Types: Full-time, Part-time
Pay: From $19.00 per hour
