Genuine Home & Health Services Inc. is an established home healthcare company providing compassionate, professional care throughout Alberta. We are looking for an organized, detail-oriented Office Administrator to join our administrative team.
This role is ideal for someone who enjoys working with numbers, staying organized, and ensuring the financial and administrative operations of the office run smoothly.
Position Summary
The Office Administrator is responsible for payroll processing, bookkeeping, client invoicing, and a variety of administrative functions that support the day-to-day operations of our office.
The successful candidate will be highly organized, dependable, able to manage multiple priorities, and comfortable working independently while collaborating with the office team.
ResponsibilitiesPayroll
- Process bi-weekly payroll accurately and on time
- Review and reconcile employee timesheets
- Investigate and resolve payroll discrepancies
- Maintain employee payroll records
- Ensure payroll complies with applicable legislation
Bookkeeping
- Maintain accurate financial records
- Record daily financial transactions
- Bank reconciliations
- Accounts payable and accounts receivable
- Credit card reconciliations
- Assist with month-end procedures
- Work closely with management and our accountant
Invoicing & Billing
- Prepare and submit client invoices
- Ensure billing is accurate and completed within required timelines
- Monitor outstanding invoices
- Follow up on payment discrepancies
- Maintain organized billing records
Administrative Duties
- Data entry and record maintenance
- Filing and document management
- Answer telephone and email inquiries
- Assist with general office administration
- Support management with administrative projects
- Maintain confidentiality of employee, client, and financial information
Qualifications
The ideal candidate will have:
- Experience processing payroll
- Bookkeeping experience
- Strong understanding of accounting principles
- Excellent attention to detail
- High level of accuracy
- Strong organizational and time management skills
- Ability to prioritize and manage multiple deadlines
- Professional written and verbal communication skills
- Proficiency with Microsoft Office (particularly Excel)
- Experience with accounting or payroll software is considered an asset
- Experience in healthcare or home care is an asset but not required
