Overview
The Material & Delivery Coordinator is responsible for the end‑to‑end coordination of materials and deliveries, ensuring material readiness from purchase order execution through logistics, receipt, and final delivery. This role ensures materials are available when needed, shipments are executed accurately, and delivery commitments are met through proactive coordination across suppliers, warehouses, logistics providers, third‑party shops, and internal stakeholders like Manufacturing and Procurement.
This position operates in a developing and evolving environment where not all processes are fully established. The successful candidate will play a key role in helping define, implement, and standardize materials coordination and logistics processes, driving structure, efficiency, and continuous improvement across the supply chain.
Key Responsibilities
Material Coordination & PO Execution
- Coordinate material readiness to support production, machining, and assembly schedules for base and non-forecasted demand
- Initiate material purchase requests and obtain appropriate DOAG endorsement
- Track and maintain material availability via purchase order status, promise dates, and delivery requirements in the ERP system (ie Fishbowl, SAP, Oracle, etc)
- Monitor open POs, update schedules and quantities and escalate risks to supply continuity
- Manage on-hand inventory to ensure aged and quarantine materials dispositions are addressed timely
- Set safety stock levels, including min and max, in line with lead time requirements and storage capability
- Inform stakeholders of inventory shortages or overages and provide mitigations
- Coordinate required cycle counts leveraging onsite supply chain, manufacturing, and/or 3rd party resources
- Collaborate cross-functionally with Procurement, Manufacturing and Quality teams to improve workflow and communication
Logistics & Freight Execution
- Coordinate with suppliers to confirm lead times, resolve delays, and align delivery schedules
- Plan and optimize inbound logistics movements including hotshot, line haul, rail, and offload.
- Expedite urgent materials through hotshot or priority freight solutions
- Manage ASN submissions and delivery slotting to support dock and warehouse readiness.
- Maintain real‑time shipment visibility, track transit performance, and communicate ETAs
Qualifications
- 7+ years of experience in material coordination within a manufacturing or oil & gas environment, preferably in discrete manufacturing
- Strong working knowledge of ERP systems (e.g., Fishbowl, SAP, Oracle, or similar), inventory or warehouse management systems, and logistics platforms
- Solid understanding of material traceability, quality documentation, and audit requirements, procurement methods and procedures
- Strong attention to detail, organizational skills, problem solving and analytical skills as well as manage multiple priorities in a fast-paced environment
- Excellent communication skills and ability to coordinate across departments and external partners
- Advanced proficiency in Microsoft Excel; including pivot tables and data analysis
