THE OPPORTUNITY OF THIS ROLE
The Events & Experience Associate supports the planning, coordination, and execution of events and experiences that strengthen relationships, engagement, and connection to United Way Winnipeg.
Working closely with internal teams, volunteers, vendors, partners, and community stakeholders, this role helps bring events and experiences to life through thoughtful planning, strong coordination, and exceptional attention to detail. From community events and donor engagement opportunities to stakeholder and volunteer experiences, the Events & Experience Associate plays an important role in creating meaningful, well-organized, and memorable experiences that reflect United Way Winnipeg's mission, values, and community impact.
RESPONSIBILTIES
Event Planning & Delivery

Support the planning, coordination, and execution of United Way Winnipeg events and experiences

Assist in developing event plans, timelines, budgets, schedules, and other planning tools to support successful delivery

Coordinate event logistics, including venues, vendors, speakers, entertainment, catering, technology, registration, signage, materials, and guest experience

Support on-site event execution, including setup, guest support, troubleshooting, and event wrap-up

Work with internal stakeholders to understand event objectives, audiences, and desired outcomes
Events & Experience

Support the delivery of engaging experiences for members, donors, volunteers, partners, and community participants

Contribute ideas and leading practices that enhance events and experiences and strengthen stakeholder engagement

Provide excellent service and responsive support before, during, and after events

Help ensure events and experiences are welcoming, accessible, organized, and aligned with United Way Winnipeg’s brand, values, and strategic priorities
Collaboration & Coordination

Collaborate with colleagues across the organization to support event planning and stakeholder engagement initiatives
-
Coordinate information, resources, staffing, volunteer support, and materials required for successful event delivery

Maintain clear communication with stakeholders regarding event plans, timelines, responsibilities, and updates

Support partnerships with vendors, community organizations, and other external stakeholders
Administrative & Operational Support

Assist with event budgets, expense tracking, and financial administration

Coordinate vendor requirements, quotes, invoices, contracts, and payment processes

Maintain accurate event records, contact information, planning documents, and post-event reporting
-
Participate in event debriefs and contribute ideas to strengthen future events and experiences
QUALIFICATIONS/EXPERIENCE
-
3+ years of experience coordinating events, experiences, or related projects
-
Post-secondary education in event management, hospitality, communications, marketing, project management, or a related field is an asset
-
Experience in fundraising, donor engagement, non-profit organizations, or stakeholder-focused environments is considered an asset
ADDITIONAL REQUIREMENTS

Occasional work outside of regular working hours will be required, including evenings, early mornings, or extended hours on event days.

Some physical activity may be required to support event setup, material preparation, on-site execution, and tear-down.

Occasional local travel may be required to support events, meetings, vendors, or community-based activities.
