Job Overview
We are seeking a highly organized and detail-oriented Office Administrator & Bookkeeper to join our growing team. This role is ideal for a motivated professional who enjoys managing office operations, providing exceptional customer service, and maintaining accurate financial records. The successful candidate will play a key role in supporting daily administrative functions while ensuring bookkeeping and invoicing processes are completed efficiently and accurately.
Key ResponsibilitiesAdministrative Duties
- Manage and ensure the accuracy of company records, files, and documents.
- Receive, respond to, and follow up on customer inquiries in a professional and timely manner.
- Provide reception coverage, including greeting visitors, answering telephone calls, and supporting front-desk operations.
- Monitor and respond to emails and phone calls promptly.
- Prepare, edit, and distribute documents, reports, correspondence, and presentations.
- Develop, maintain, and update databases, spreadsheets, and organizational tools.
- Maintain office supplies, equipment, and inventory levels.
- Process and analyze data to ensure accuracy and completeness of information.
- Assist with special projects and perform other administrative duties as assigned.
Bookkeeping & Accounting Duties
- Create, issue, and track customer invoices.
- Process accounts receivable and follow up on outstanding payments.
- Maintain accurate financial records and bookkeeping entries.
- Reconcile bank statements, credit card transactions, and financial accounts.
- Assist in preparing reports for management and external accountants.
- Organize and maintain financial documentation in compliance with company procedures.
- Support month-end and year-end accounting processes as required.
QualificationsRequired
- High school diploma or post-secondary education in Business, Administration, Accounting, or a related field.
- Minimum of two (2) years of administrative experience.
- Experience with bookkeeping, invoicing, accounts receivable, or related accounting functions.
- Excellent written and verbal communication skills in English.
- Intermediate proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple tasks and manage competing deadlines.
- Ability to work independently with minimal supervision.
- Strong analytical, problem-solving, and basic arithmetic skills.
- Experience with QuickBooks.
Assets
- Previous experience in a customer-facing administrative role.
- Post-secondary education in accounting, bookkeeping, business administration, or a related field.
