The College of Physicians and Surgeons of Manitoba (CPSM) is the medical regulatory authority in Manitoba, serving the public interest by regulating the practice of medicine. Comprising of approximately 65 staff, this unique not-for-profit organization carries out its mandate to protect the public through three core functions;
- Registration ensures everyone registered to practice medicine in Manitoba is competent to practice and meets all the established registration requirements.
- Quality monitors the professional competency of practice and promotes safe care for Manitobans through ongoing education and quality improvement.
- Complaints and Investigations addresses concerns regarding the care provided by, or the professional conduct of CPSM registrants.
The Opportunity
CPSM is looking for a full-time (1.0 EFT) Reception Clerk. The successful individual will provide reception duties and support for the departments within CPSM. This position is exclusively based in the office.
The Individual
The successful candidate must have excellent customer service and communication skills, including the ability to work and problem-solve independently within general guidelines. The ability to deal professionally with confidential information is required. The ideal applicant has a strong interest in assisting the public and can effectively communicate with both the public and members of the team.
Duties & Responsibilities:
1. Front Desk Management: Greet visitors, verify identification, and direct them to the appropriate department.
Maintain a welcoming reception area and common areas including kitchens and meeting rooms.
2. Communications: Manage phone and in-person inquiries from the public and colleagues. This involves
providing information and support to callers who have concerns about the conduct or care they received from a
CPSM registrant. Manage phone, email, and in-person inquiries from CPSM registrants, including referring to
other applicable individuals in various CPSM departments.
3. Internal communications include managing general requests for facilities maintenance, stationary/supplies, and
visitors.
4. Mail & Courier: Manage incoming and outgoing mail, manually or electronically, legal documents, and courier
packages.
5. Administrative Support:
- Prepare correspondence, reports, statements, forms, and other documents.
- Photocopy and collate documents for distribution, mailing and filing.
- Send and receive messages and documents using fax machine or electronic mail.
- Maintain inventory of office supplies, order supplies as required and arrange for servicing of office equipment.
- Sort, process and verify receipts, expenditures, forms and other documents.
6. Other: Performing and completing other administrative duties, tasks or projects assigned.
Required Qualifications:
- Minimum of 2 years of entry-level administrative experience. Post-secondary administrative certificate or diploma.
- An alternate combination of experience and education may be considered.
- Effective communication skills, English proficiency in oral and written is required as the business standard.
Demonstrated knowledge of MS 365 including Outlook, PowerPoint, Word, Excel, and SharePoint.
Assets:
- Reception experience in healthcare or clinical settings.
- Medical terminology and transcription experience.
- Experience with handling confidential information.
