Overview
I am an OB/GYN opening an office in Etobicoke, affiliated with St. Joseph's Health Centre, and am seeking a highly organized, patient-focused and detail-oriented Medical Office Administrator to join our healthcare team.
The successful candidate will be responsible for managing front desk operations, coordinating patient appointments, and ensuring smooth administrative workflows within a specialist physician's fast-paced office. This role requires excellent communication skills, proficiency with electronic medical records, and familiarity with office management systems. Prior experience in medical office administration is preferred. Experience with EMR systems Epic and/or Accuro would be a strong asset. The Medical Office Administrator plays a vital role in providing exceptional patient service while maintaining efficient office operations.
Hours are 37.5 hours per week: 7.5 hours per day, 5 days per week. Four of those days would be in office with the option to work 1 day remotely.

Responsibilities
- Greet patients and visitors professionally at the front desk, ensuring a welcoming environment
- Manage multi-line phone systems to schedule appointments, answer inquiries, and direct calls appropriately
- Coordinate and schedule patient surgeries, including pre-admission unit appointments, ensuring all required documentation is completed accurately and on time
- Maintain accurate electronic medical records using systems such as Accuro and Epic
- Validate OHIP health cards and complete patient registration
- Coordinate appointment scheduling and rescheduling
- Handle mail, couriers, faxes
- Order office supplies
- Process and sterilize of office medical instruments
- Assist with administrative tasks including data entry, filing, and correspondence
- Handle patient check-in/check-out processes efficiently while ensuring confidentiality
- Support the clinical team by managing supplies inventory and maintaining a clean reception area
- Carry out other administrative duties as required
Requirements
- Proven experience as a Medical Office Administrator with dental or medical office experience preferred
- Experience using an electronic medical record system (specifically Accuro) is an asset
- Interest and/or experience in working with patients in an obstetrics and gynaecology context
- Proficiency in medical scheduling systems and standard office software
- Strong organizational and multitasking abilities
- Excellent communication and multitasking skills
- Ability to work independently and as part of a team
