About the Role
As our Senior Clinic Administrator, you'll help oversee the day-to-day operations of the clinic while supporting the Clinic Director with administrative, financial, and operational responsibilities.
You'll be someone who notices what needs to be done before being asked, communicates confidently, and enjoys improving processes rather than simply following them.
This role offers significant opportunity to grow as the clinic continues to expand, with increasing responsibility for the right person.
What You'll Do
- Partner with the Clinic Director to support the daily operations of the clinic
- Help ensure patients receive a welcoming, seamless experience from first contact to follow-up
- Coordinate scheduling, administrative workflows, and clinic operations
- Manage accounts payable and accounts receivable
- Assist with payroll, with the opportunity to take ownership of payroll processing
- Support budgeting, financial reporting, and expense tracking
- Manage clinic inventory and order medical and office supplies
- Help maintain clinic policies, health and safety standards, and operational procedures
- Respond professionally and compassionately to patient questions and concerns
- Identify opportunities to improve systems and clinic efficiency
- Maintain strict confidentiality and compliance with PIPEDA privacy standards

Qualifications
- Minimum 1 year of experience in a medical or healthcare office
- Strong administrative and organizational experience
- Comfortable learning and using multiple software platforms
- Experience with Jane App, Wagepoint, and Mailchimp is considered an asset
- Experience with bookkeeping, payroll, or financial administration is an asset
- High school diploma required; post-secondary education in administration, business, or healthcare is an asset
