About the Role
True Blue Energy is seeking a detail-oriented and organized Accounts Payable & Accounting Administrator to join our growing team. This position is responsible for managing accounts payable, completing account reconciliations, preparing government remittances, maintaining accurate financial records, and providing administrative support to management. The successful candidate will be dependable, highly organized, and committed to maintaining the highest level of accuracy and confidentiality.
Key Responsibilities
Accounts Payable
Accurately process and record all company expenditures, including supplier invoices, fuel purchases, insurance premiums, vehicle and equipment financing payments, utilities, and other operating expenses.
Ensure invoices are coded to the appropriate general ledger accounts and entered in a timely manner.
Prepare and process supplier payments according to payment terms.
Reconcile supplier statements monthly to ensure all invoices have been received, payments have been applied correctly, and outstanding balances are accurate.
Invoice Verification
Verify all subcontractor and supplier invoices with management prior to payment to confirm work has been completed, pricing is accurate, and appropriate approvals have been obtained.
Resolve invoice discrepancies with vendors before processing payment.
Account Reconciliations
Complete monthly reconciliations for all bank accounts, credit card accounts, financing accounts, and other balance sheet accounts.
Investigate and resolve discrepancies promptly to maintain accurate financial records.
Government Remittances
Prepare and file HST returns accurately and on time.
Prepare and submit fuel tax remittances in accordance with provincial and federal reporting requirements.
Maintain supporting documentation for all tax filings.
Financial Record Keeping
Maintain organized electronic and physical accounting records.
Ensure documentation is complete and readily available for management review and year-end accounting requirements.
Assist with month-end and year-end financial reporting.
Administrative Support
Maintain strict confidentiality of all financial information.
Provide administrative support to management on accounting-related matters.
Identify opportunities to improve accounting procedures and internal controls.
Provide reception support as required, including answering phones, greeting visitors, and directing customer inquiries.
Qualifications
Post-secondary education in Accounting, Bookkeeping, Business Administration, or a related field is preferred.
Minimum of 2–3 years of experience in accounts payable, bookkeeping, or accounting administration.
Strong understanding of general accounting principles.
Experience with Microsoft Office, particularly Excel.
Experience with QuickBooks is considered a strong asset.
Experience preparing HST and fuel tax remittances is considered an asset.
Excellent organizational skills and strong attention to detail.
Ability to manage multiple priorities and meet deadlines.
Strong communication, problem-solving, and interpersonal skills
Professional, reliable, and able to maintain confidentiality.
