Event Specialist
This employment opportunity is a full-time in office position, Monday to Friday, 8:30 AM – 5 PM, with occasional evening and weekend event responsibilities. Candidates must be able to reliably commute and work in office at the Chamber office at 100 Ordze Avenue, Sherwood Park, Alberta, T8B 1M6.
Responsibilities / Duties
Event Planning & Execution
- Responsible for the end-to-end planning, coordination, promotion, and on-site execution of Chamber events and programs, including monthly business luncheons, annual trade show, golf tournament, award gala, and other member engagement initiatives.
- Coordinate event logistics with vendors and external stakeholders, including catering, venues, regulatory providers, and production materials such as timelines, agendas, speaker notes, and MC scripts.
- Manage event registration systems, including creating registration forms, contracts, supporting documentation, processing registrations, and collecting payments.
- Obtaining revenue for events through the sale of sponsorships and event marketing opportunities.
- Developing budgets, work plans, and reports for Chamber events, activities, and programs.
- Coordinating volunteer committees, as well as creating meeting minutes and agendas.
Digital Media, Marketing & Social Media
- Support of all areas of the Chamber to ensure consistency of the Chamber brand in all communications.
- Design event assets and branded promotional materials, including signage, presentations, flyers, advertisements, and other marketing collateral.
- Create copy and graphic content for social media, print, and digital marketing campaigns.
- Manage and execute the Chamber’s social media communications, including content creation, scheduling, and engagement, across all platforms.
- Coordinating ad placements with external publications (newspapers, magazines, etc.) and managing paid digital advertising campaigns across social media platforms.
- Contribute to communications for the Chamber’s e-newsletter, website, presentations, and correspondence with government and community stakeholders.
Operations & Stakeholder Management
- Interacting with the board, Chamber members, and staff in a professional, service oriented, and ethical manner.
- Working with a team approach on collaborative projects with fellow staff and volunteers, as well as acting as an ambassador for the Sherwood Park / Strathcona County business community.
Skills & Abilities
- Previous event planning, marketing, and communications experience and/or training.
- Ability to manage competing priorities and multiple deadlines while maintaining accuracy, attention to detail, and strong time management.
- Computer program literacy and proficiency in MS Word, Excel, Outlook, PowerPoint, and Canva.
- Working experience with social media platforms (Facebook, Instagram, LinkedIn, and Twitter/X).
- Knowledge of Adobe Illustrator, InDesign, and WordPress is an asset.
- Strong communication, people skills, and relationship management skills, including working with volunteers, members, vendors, and community partners.
- Knowledge of the Sherwood Park / Strathcona County business community
