Location: This position is based in Calgary, Alberta. This is in an in-office position, with an opportunity for hybrid remote work (Fridays) upon completion of 90-day probation.
Hours: Full-Time Monday-Friday, 40-hours per week.

Position Overview: We are currently seeking an Assistant Coordinator to join our Calgary Business Services Team. As the Assistant Coordinator, you will play a valuable and crucial role in contributing to the completion of our projects from initial touch point to final warranty work. You will directly contribute to the financial and corporate function and well-being across all divisions of Great Western Interiors. This position offers a great opportunity for individuals looking to grow and utilize their experience.
Responsibilities:
-Provide general administrative support to the company’s Production Coordinator, Service Coordinator, Process and Systems Coordinator across all company divisions.
-Support Coordinators in maintaining GWI scheduling timeframes, provide coverage for holidays and overflow.
-Create, edit and verify vendor and supplier purchase orders.
-Create new Job Files, vendor and builder set ups in GWI internal systems.
-Assist with full cycle Accounts Receivable, including preparing invoices and submitting invoices (digital and hardcopy).
-Accessing and navigating builder portals for construction documents, purchase orders and schedules.
-Support in FPO process for prompt Service invoicing
-Supporting vendor accounts payable. Including posting Purchase Orders, Credits, Bills and Bill Payment Stubs.
-Entering Supplier material invoices and credits to balance for month end payments.
-Perform data entry and maintain accurate digital and hardcopy financial records and filing.
-Support in tech stack implementation including transitioning accounting platform and new resource planning software.
-Run and file semi-monthly WCB Clearance reports for vendors.
-Support in the creation of Standard Operating Procedures for the Business Services Team.
-Adherence to company policies and procedures.
Requirements:
-Previous experience in scheduling/coordinating, bookkeeping, Accounts Payable/Receivable or Admin is considered an asset.
-Knowledge of basic coordinating and administration principles and practices. Familiarity with admin services and terminology.
-Proficiency in using accounting software, experience with QuickBooks Online is considered an asset.
-Tech Skills – General understanding of Tech Stack Implementation, Hardware and Software considered an asset.
-Microsoft Suite - Outlook, Excel, Word, Teams and SharePoint.
-Attention to detail and the ability to work meticulously to achieve high-quality results.
-Strong communication and teamwork skills. The ability to take direction and work effectively alongside a team.
-Reliability, punctuality, and the ability to work independently with minimal supervision.
