THE OPPORTUNITY
Reporting to the Property Manager, the Operations Supervisor will be responsible for overseeing the day-to-day operations of the GTA Portfolio of properties, ensuring efficiency, productivity and optimal performance across all properties. The role involves overseeing all maintenance activities to ensure smoother operations, strategic planning, resource management, and process improvement to meet the stakeholder's goals and objectives.
THE ROLE
As the Operations Supervisor, you will assist the team to:
1. Property Management
- Deal with maintenance and service requests in our Service Call Management Software, which includes, scheduling contractors as required, following up to ensure service calls are completed in a timely manner, closing out work orders in a timely fashion, and coordinating the back charges of appropriate services.
- Contract administration for vendors ensuring insurance, permits, etc. are in place.
- Assist operations staff with service providers.
- Assist building operators and property managers with operation related documentation (i.e. notices to tenants).
- Maintain and update all information on health/safety, fire plans, air quality issues, and asbestos management plans.
- Maintain and update security service documentation including access cards and video camera IP information.
- Co-ordinate standard contracts, including production of specs and tendering.
- Coordinate the installation of leasing signage if required.
- Draft the monthly “operations” section of the management report for review by the Property Manager by the 3rd day of each month.
- Maintain up-to-date listing of suppliers and contractors including contact names, addresses and phone numbers. Summarize basic contract terms for distribution to Property Manager as required.
2. Operational Management
- Plan, direct, and coordinate the operations of the GTA Portfolio.
- Develop and implement operational policies and procedures.
- Monitor daily operations and address potential issues promptly.
- Ensure all operations are carried out in an appropriate, cost-effective manner.
- Develop and implement preventative maintenance programs to ensure the ongoing reliability of machinery, equipment and systems.
- Coordinate with vendors for equipment servicing and repairs as needed.
- Be one of the after-hours points of contact for the properties.
3. Staff Supervision
- Direct, train supervise and manage the operations team on proper maintenance procedures, safety protocols and equipment operation. Provide ongoing support and guidance to enhance team skills and knowledge.
- Set performance goals and deadlines in ways that comply with the company’s plan and vision and all safety standards.
- Evaluate regularly the efficiency of business procedures according to organizational objectives and apply improvement.
4. Resource Management
- Allocate resources effectively and fully utilize assets to produce optimal results.
- Assist in development and management of maintenance budgets, forecasts, and reports to support operational decision-making.
- Monitor inventory levels and oversee purchasing of materials and supplies, subject to monetary levels of approval.
5. Process Improvement
- Ensure compliance with local, provincial and federal regulations.
- Maintain high stands of quality and safety in all operations.
- Conduct regularly scheduled audits/inspections, identify maintenance issues and implement corrective action promptly as needed.
- Maintain accurate records of maintenance activities, equipment manuals and inspection reports.
6. Customer Service
- Oversee tenant and building service activities to ensure customer satisfaction.
- Resolve tenant and building complaints and issues promptly and effectively.
- Develop strategies to improve tenant/client/contractor relationships.
THE QUALIFICATIONS
The Operations Supervisor has:
- Proven experience as an Operations Supervisor or in a similar role.
- Strong understanding of operational processes and principles for mechanical, electrical and plumbing systems.
- Excellent organizational and leadership abilities.
- Outstanding communication and people skills.
- Knowledgeable of industry and governing bodies legal rules and guidelines.
- Proficiency in MS Office and various business software (e.g. Angus systems industry related software, Yardi).
Pay: $28.00-$32.00 per hour
