Position Overview:
The Surgical Office Assistant (SOA) is responsible for providing both administrative and clinical support to three part-time surgical physicians. These physicians are in clinic on a rotating schedule, with an average of one to two doctors present per week. Additionally, the Surgical Office Assistant manages the clinic schedule, coordinating appointments for an average of 10-30 patients per week, including both in-clinic and SWIM appointments. This role is essential in-patient care, managing scheduling, patient coordination, and documentation.
The SOA must demonstrate clear communication, patience, and professionalism while working in the surgical department. An understanding of medical office procedures, attention to detail, and a commitment to maintaining patient confidentiality are essential. The position requires the ability to deliver a high standard of service while efficiently managing both administrative and clinical responsibilities.
Qualifications:
•High school education, Manitoba standards, required
•Completion of a recognized Medical Office or Medical Administrative Program
•Equivalent combination of education and experience may be considered
•1 - 3 years of experience in a healthcare setting preferred
•Experience in coordinating clinical appointments, O.R. procedures, patient admissions, and related tests preferred
•Proficiency with office software (e.g., Microsoft Office) and medical office management systems (EMR, billing software), with experience in ACCURO and SWIM preferred
•Basic knowledge of surgical and medical terminology is an asset
•Strong organizational, multitasking, and prioritization abilities
•Excellent communication skills and ability to work in a team environment
•Ability to maintain confidentiality and comply with healthcare regulations in various formats
•Reliable work and attendance record
•Ability to manage multiple demands simultaneously
•Capacity to work independently with minimal supervision
•Willingness to work in stressful environments, including with aggressive or agitated individuals
Physical Requirements:
•Demonstrated ability to meet the physical and mental demands of the job
•Capable of lifting up to 20 lbs.
•Involves a combination of sitting, standing, and walking
Job Type: Full-time
Pay: Up to $16.75 per hour
