Administrative & Business Assistant (Entry-Level)
Part-Time (1–3 days/week, with growth)

About the Role
We are seeking a motivated, detail-oriented person to join our team in a front-facing administrative and business support role with a regulated portfolio manager. This is an excellent opportunity to gain hands-on experience in investment management, business operations, and financial services.
This role is also well-suited as a high-quality summer internship opportunity, with potential to continue part-time as responsibilities expand. You will work closely with an experienced Portfolio Manager in a professional, compliance-driven environment.
Key Responsibilities
- Serve as the first point of contact for clients—greeting visitors and managing a multi-line phone system with professionalism
- Maintain a welcoming, organized front desk environment and deliver high-quality client service
- Perform data entry and maintain accurate records across internal systems
- Prepare, proofread, and organize documents for efficient retrieval and presentation
- Assist with Excel-based reporting, basic financial/accounting analysis, and database updates
- Support bookkeeping and basic financial recordkeeping (experience with QuickBooks an asset)
- Coordinate schedules, meetings, and calendars; assist with meeting preparation and client hospitality
- Support administrative projects, including report preparation, file management, and office operations
- Utilize Microsoft Office, Google Workspace, and basic AI tools to improve efficiency
Qualifications
- Ideally, pursuing or recently completed education in Commerce, Business, Economics, Finance, Accounting, or Mathematics
- Proficiency in Microsoft Excel and Word; familiarity with Google Workspace
- Exposure to accounting or bookkeeping concepts (QuickBooks an asset)
- Strong organizational skills and attention to detail, including proofreading accuracy
- Excellent communication and client service skills, with professional phone etiquette
- Ability to manage multiple tasks and prioritize effectively in a dynamic environment
- Reliable, proactive, and eager to learn
